Job description

Scope and Purpose

The Transitions Specialist leads the onboarding and offboarding of properties for Zellis, serving as the lead point person for clients, property teams, and internal departments throughout the transition and due diligence process. You make sure that when a property comes onto—or leaves—the Zellis platform, every task is completed on time, every stakeholder knows what to expect, and the client experiences a smooth, professional transition from first impression to final impression.

You interface with every department involved in a transition—operations, accounting, HR, marketing, and systems—and ensure each has what it needs to succeed. You outline to clients and internal teams what to expect, manage client expectations while adhering to Zellis policies and procedures, and proactively address challenges before they escal.

Zellis takes on properties across different asset types, deal types, and markets, and each transition has its own demands. The Transitions Specialist prepares for those differences, keeps accurate data in Yardi Voyager and Monday.com, thinks critically to solve problems under pressure, and continuously improves the transition process by sharing feedback and offering solutions. You help drive onboarding and offboarding decisions based on what will be most successful for the client.

Our Core Values

At Zellis, everything we do is guided by four values that define how we show up—for each other, for our residents, and for our clients.

  • Driven by Passion: We show up with energy, ownership, and a relentless drive to be better –We care deeply about the work, and it shows. We hold ourselves to a higher standard, take responsibility for outcomes, and push through challenges with determination. Your ownership of every transition—and your drive to give clients the best possible first and final impression—sets the tone for how Zellis is experienced from day one.
  • Built Smarter: We run toward change and build better systems to stay ahead –We lead the industry by embracing technology, automation, and new ways of working to create smarter, more efficient operations. You use Yardi Voyager and Monday.com to track every transition task, keep data accurate, and continuously reconsider workflows to make the transition process faster and more reliable.
  • Experience Meets Insight: We combine experience and data to guide smarter decisions –Our clients and residents trust us to do more than manage—they rely on us to think. We bring expertise and turn data into clear, actionable insight. You apply a strong understanding of asset types, deal types, and market differences to prepare for each transition and to make recommendations that help clients and internal teams make confident decisions.
  • Service Without Compromise: We set a higher standard by anticipating needs and owning every outcome –Every interaction is thoughtful, timely, and intentional. We anticipate needs, communicate clearly, and follow through without exception. You respond promptly to client and team needs, set clear expectations, and own every transition through completion.
Duties and Responsibilities
  • Act as the lead point person for clients, brokers, and internal teams during the onboarding and offboarding of each property, responding promptly to any needs.
  • Outline to clients and internal team members what to expect during the transition and due diligence process, and manage client expectations while adhering to Zellis policies and procedures.
  • Ensure the timely completion of all transition and due diligence tasks for yourself and for every other department involved.
  • Oversee property dispositions and due diligence activities, keeping each on schedule and on scope.
  • Interface with all departments involved in property transitions, ensuring everything they need for success is provided.
  • Deliver the best possible first impression and final impression to clients, and address client issues directly with solutions that align with Zellis policies.

  • Maintain accurate transition data and project status in Yardi Voyager, Monday.com, and other company systems.
  • Review reporting and property management deliverables for accuracy before they are shared with clients or internal teams.
  • Assist team members at every level in understanding the transition process and their specific expectations within it.
  • Train and support new associates on the transition process and expectations, and step in or notify the appropriate party when a teammate is struggling to meet a deadline so the overall workflow is not disrupted.
  • Identify opportunities to improve the transition process within the team and across departments, and share feedback and offer solutions.
  • Prepare for differences among asset types, deal types, regions, markets, and operators when transitioning properties in multiple markets.
  • Serve as a Zellis knowledge resource to all departments and clients, and connect people with the right resources when a question falls outside your direct oversight.
  • Communication –Communicates respectfully and professionally, verbally and in writing, without errors. Is thoughtful in approach—outlining pertinent information up front so others do not need clarification—and proactively connects with department heads and stakeholders when there are questions or delays.
  • Client Service –Is comfortable and confident interacting with clients and brokers daily. Manages expectations, communicates client needs to the right stakeholders, and leads the client through transition and due diligence.
  • Internal Customer Service –Treats internal teams as customers. Reconsiders workflows based on feedback, helps resolve questions, and connects people to the right resources.
