Job summary

Tenet is seeking a TRA Staffing Coordinator to coordinate daily staffing with facilities, Nurses Managers, and Supervisors. You will anticipate and schedule needs, maintain professional office operations, and ensure timely confirmations and accurate documentation.

The role reports to the TRA National Director of Staffing Operations and TRA Supervisor/Lead. You will liaise between staff, vendors, and facilities to meet staffing requirements, address issues, and keep systems updated with shift

Qualifications

  • Minimum education: High School Diploma or GED.
  • Preferred education: Associate degree.
  • Minimum experience: 1 year of customer service experience.
  • Preferred experience: Staffing, scheduling and workforce management.

Responsibilities

  • Maintains current update of facility needs.
  • Contacts facilities regarding progress toward filling outstanding needs.
  • Ensures approval for all OT booked by TRA and documents in scheduling system.
  • Coordinates timely and accurate confirmations beginning 3 hours prior to start of shift.
  • Re-routes all cancelled clinicians and communicates staff changes per policy.
  • Maintains work orders in the system with accurate reasons and notifications to departments.
  • Ensures all orders with time requests are filled.
  • Anticipates and resolves issues based on customer needs.
  • Documents staffing requests and activities in the systems.
  • Addresses action items in the staffing office's shared email box.
  • Replies to all client and TRA clinical employee communications.
  • Answers all phone calls.
  • Ensures employees comply with regulatory and TRA/Corporate directives.

The TRA Staffing Coordinatoris responsible forcoordination of daily staffing with all designated facilities by effectivelyanticipatingand scheduling needs with the facilities Staffing Coordinator, Nurse Managers and Nursing Supervisors. Maintains the office ina professionaland organized manner.


Supervisor : This role will report to the TRA National Director of Staffing Operations and TRA Supervisor/Lead.

Responsibilities
  • Maintains current update of facility needs.

  • Responsibilities for contacting facilitiesregardingprogress towardfillingoutstanding needs.

  • Ensure that approval is obtained for all OT booked by TRA and documents approval in note section of scheduling system.

  • Coordinates confirmation processtimelyand accurately beginning 3hoursprior to the start of the confirmed shift ensuring that all TRA personnel are contacted.

  • Re-routesall cancelled clinicians.

  • Communicate staff changes to theappropriate partiesin accordance withthe Confirmation and Cancelation policy.

  • Ensureall work orders aremaintainedin the system, closedwithaccuratereasons, andappropriate departmentsare notified.

  • Ensures allorders withtemprequestare filled.

  • Anticipates and provides resolution to issues based on the needs and expectations of our customers.

  • Documents all staffingrequestandactivityin the system(s).

  • Addresses all action items outlines in the staffing office’s shared email box.

  • Reply’sto all client and TRA clinical employee communications, and voice messages, in all systems.

  • Answersall phone calls.

  • Ensures employeescomply withregulatory and TRA/Corporate directives,policiesand procedures.

  • Forwards Corrective Actions andfacility’sconcerns to TRA chain of command.

  • ServesasLiaisonbetween staff,vendorsand facilities to meet minimum staffing requirements within establishedparameters at booking.

  • Establishes a harmonious relationship with facilities through cooperative contacts.

  • Providesdetailnotes on shift activity,anticipatedstaffing changes, facility requests, call offs, and cancellations for teammates upon shift change.

  • Participates in special projects, as needed.
