Job summary

The Santa Clara Valley Transportation Authority (VTA) is seeking a Timekeeping Technician in San Jose to compile and process pay and attendance records for bus operators, light rail, and maintenance staff under general supervision.

You will handle timekeeping procedures, learn labor contracts, perform high-volume calculations, and support colleagues across departments while meeting strict deadlines, including overtime on weekends and holidays when needed.

Qualifications

Job description

VTA (North Yard) is looking for a self-motivated, punctual candidate who is ready to work in the fast-paced, customer-driven field of timekeeping. The ideal candidate can quickly learn administrative procedures and pay practices derived from various labor contracts. The ideal candidate will demonstrate the ability to assist colleagues within the department as well as across other departments. The candidate is expected to adhere to strict deadlines while managing daily tasks. The candidate may need to work overtime, including weekends and holidays, based on business needs.

The Division

Under the direction of Naunihal Singh, Chief Operating Officer, the Operations Division operates, analyzes,maintains,andmanages VTA's bus and rail transit system and facilities. It also oversees contracted shuttle and ADA paratransit services. Operations consists of the Chief Operating Officer's Administrative unit - Operations Administration - as well as Bus & Rail Transit Operations, Bus & Rail Transit Maintenance, Operations Development, Special Event Service, FacilitiesMaintenance, Operations Analysis Reporting & Systems, andRegional Transportation Services. Together, Operations comprises 14 functional units - Operations Administration; Bus & Rail Transit Operations; Service Management; Rail Maintenance; Bus Maintenance; Way, Power & Signal Maintenance; Facilities Maintenance; Maintenance Engineering; Warranty & Quality Assurance; Operations Development; Regional Transportation Services; and Operations Analysis, Reporting and Systems.

What You’ll Be Doing

Under general supervision, the Timekeeping Technician compiles and processes pay and attendance records for Bus Operators, Light Rail Operators, and maintenance personnel; and performs other moderately complex and responsible duties as required.

This is a journey-level clerical classification. The Timekeeping Technician differs from other clerical classes in that positions in this classification are assigned to a bus or light rail yard, and incumbents specialize in timekeeping and attendance recordkeeping activities specific to Bus Operators, Light Rail Operators, and maintenance personnel. Incumbents in this class must have a comprehensive knowledge and understanding of clerical processes and procedures, relevant sections of collective bargaining agreements, and the ability to perform a high volume of numerical calculations quickly and accurately.

Typical Tasks

  • Prepares spreadsheets for timekeeping and paycheck adjustments;
  • Prepares correspondence, reports, memoranda, lists, and other written materials or documentation using word processing equipment, software, or other electronic office equipment;
  • Prepares documents related to discipline processes;
  • Proofreads and checks hardcopy documents and computer entries for accuracy, completeness, and compliance with collective bargaining agreements and VTA policies and procedures;
  • Sets-up, maintains, and revises filing systems; prepares new file folders, performs filing and file retrieval duties; purges outdated information as necessary;
  • Assists employees by answering questions or referring them to the appropriate source of information; distributes forms and assists in their completion; and schedules appointments;
  • Researches timekeeping data to resolve discrepancies;
  • Receives, sorts, and distributes mail, reports, and other materials; prepares mailings;
  • Orders and receives materials, supplies, and equipment; verifies quantity and condition; makes deliveries;
  • Operates a variety of office equipment, such as personal computers, calculators, telephones, fax machines, and photocopiers;
  • Maintains office equipment including contacting service and repair personnel;
  • May assist in the training of new or temporary personnel;
  • Performs other related work as required.
Employment Standards

Sufficient training, education, and experience to demonstrate possession of the required knowledge, skills, and abilities.

Development of the required knowledge, skills, and abilities is typically obtained through a combination of education and experience equivalent to completion of high school, or equivalent, and two (2) years of clerical experience that includes calculating solutions to various mathematical problems and/or compiling numerical data. Course work or experience in computer software programs such as word processing, database, and spreadsheets is required.

Knowledge of:
  • Basic mathematics, including addition, subtraction, multiplication, and division;
  • Standard office administrative practices and procedures, including business letter writing and the operation of common office equipment such as typewriters, calculators, copy machines, facsimiles, and personal computers (including word processing, database, and spreadsheet software);
  • Applicable sections of collective bargaining agreements; policies and procedures related to timekeeping and attendance;
  • Record keeping, filing, indexing, and cross referencing;
  • Correct English usage, including spelling, grammar, and punctuation;
  • General customer service skills.
Ability to:
  • Calculate solutions to mathematical problems involving addition, subtraction, multiplication, and division;
  • Perform a high volume of numerical calculations quickly and accurately;
  • Gather and compile information; prepare reports and numerical summaries;
  • Type correspondence, reports, technical specifications, memoranda, lists, and other written materials or documentation;
  • Operate modern office equipment, including personal computers (with common business software including word processing, database, and spreadsheet); Learn specialty software programs as required;
  • Learn and apply provisions of collective bargaining agreements; review and research information and formulate conclusions based upon prescribed policies and procedures;
  • Establish and maintain effective relationships with those contacted in the course of work;

The established Eligible List from this recruitment will be used to fill the current vacancies and additional vacancies that may occur. Eligible Lists typically remain in effect for six (6) months.
