The position owns portfolio reporting, leadership meeting operations, RAID and action management, resource-planning coordination, delivery-process governance, and continuous-improvement activities across multiple customer engagements. Success requires strong project management discipline, executive communication, financial awareness, attention to detail, and the ability to organize complex work across technical and non-technical teams.

Required Qualifications & Skills
  • Bachelor's degree in business, information technology, engineering, project management, or a related discipline, or an equivalent combination of education and relevant experience.
  • 7+ years of experience in project management, PMO operations, portfolio management, delivery operations, program governance, or a related discipline.
  • Experience preparing executive-level reporting, presentations, meeting materials, and written communications.
  • Experience managing governance cadences, RAID logs, action registers, and cross-functional follow-through.
  • Working knowledge of project planning, resource planning, forecasting, financial tracking, and delivery-health reporting.
  • Strong organizational, analytical, facilitation, communication, and problem-solving skills.
  • Advanced proficiency with Microsoft Excel, PowerPoint, Teams, SharePoint, and Microsoft 365.
  • Ability to manage competing priorities and high volumes of detail while maintaining accuracy and timely follow-through.
  • Ability to collaborate effectively across technical, customer-facing, financial, and operational functions.
Key Responsibilities
Portfolio Governance & Executive Reporting
  • Facilitate recurring portfolio, leadership, customer portfolio, and delivery governance reviews.
  • Prepare agendas, executive presentations, status summaries, minutes, and follow-up communications.
  • Consolidate milestones, key performance indicators, risks, issues, dependencies, decisions, and mitigation actions into reliable portfolio-level visibility.
RAID, Decision & Action Management
  • Own and administer portfolio and leadership RAID processes.
  • Capture owners, due dates, status, dependencies, and closure evidence.
  • Monitor open items, follow up with owners, and escalate overdue or unresolved matters through appropriate leadership channels.
Resource Planning & Forecast Coordination
  • Coordinate resource-demand planning, staffing reviews, utilization discussions, and capacity-management activities.
  • Maintain planning information used for staffing decisions, delivery forecasting, and operational-readiness reviews.
  • Communicate resource-allocation risks that may affect customer commitments, schedules, quality, or financial performance.
Delivery Operations & Process Governance
  • Maintain and improve delivery-management standards, templates, operating procedures, governance controls, and reporting practices.
  • Monitor the accuracy and completeness of schedules, milestones, forecasts, release information, and portfolio status artifacts.
  • Identify handoff gaps and process breakdowns and facilitate corrective actions.
Financial & Portfolio Administration
  • Support portfolio forecasting, budget visibility, resource-utilization reviews, project financial tracking, annual planning, operating reviews, portfolio health assessments, and project setup governance.
  • Coordinate with Delivery, Finance, Sales, and Operations to improve transparency and timely decision-making.
Meeting Facilitation & Communications
  • Serve as facilitator and operational coordinator for recurring delivery, portfolio, and leadership meetings.
  • Manage cadence, logistics, agendas, materials, decisions, minutes, and follow-up communications.
  • Translate complex information into clear, executive-ready messages for technical and non-technical audiences.
Knowledge Management & Continuous Improvement
  • Develop and maintain standard operating procedures, training materials, process documentation, and governance playbooks.
  • Support onboarding and knowledge transfer.
  • Facilitate lessons learned and retrospectives.
  • Promote consistent practices and measure adoption and effectiveness of process changes.
Preferred Qualifications & Skills
  • PMP or comparable project, program, or Agile certification.
  • Experience in Professional Services, software delivery, retail technology, or enterprise technology organizations.
  • Experience with portfolio and project tools such as Smartsheet, Jira, ServiceNow, Oracle, Tempo, or comparable platforms.
  • Experience supporting customer-facing delivery organizations and executive governance forums.
  • Experience developing SOPs, training materials, reporting standards, or knowledge-management content.
  • Familiarity with Agile, waterfall, and hybrid delivery approaches.
What Success Looks Like
  • Leadership reporting and meeting materials are accurate, concise, and delivered on the required cadence.
  • Risks, actions, issues, and decisions have clear owners, current status, and timely escalation or closure.
  • Resource constraints, delivery dependencies, and financial or schedule variances are visible early enough to support corrective action.
  • Portfolio and project artifacts provide consistent, trustworthy information for leadership decision-making.
