The Tax Coordinator will provide high-level administrative, project management, and operational support to the Tax Department - Head of Tax and the broader tax team. This role goes beyond traditional administrative duties, requiring strong project management capabilities, advanced Excel skills, and a solid understanding of tax processes to coordinate deadlines, manage workflows, and ensure the smooth execution of critical tax initiatives. The ideal candidate will be highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities
  • Administrative Support
    • Serve as the primary point of contact and gatekeeper for the Director of Tax, managing calendars, meetings, and communications
    • Prepare meeting materials, presentations, and briefing documents for internal and external meetings
    • Coordinate travel arrangements, expense reports, and other executive administrative tasks
  • Project Management
    • Oversee and track progress on multiple tax-related projects, ensuring deliverables are completed on time
    • Maintain a tax project tracker with deadlines, responsibilities, and dependencies
    • Coordinate cross-functional teams to gather necessary data and documentation for tax filings, audits, and planning initiatives
    • Follow up with stakeholders to ensure accountability and timely completion of assigned tasks
  • Excel & Data Management
    • Build, maintain, and update complex Excel workbooks for tax provision, compliance calendars, audit schedules, and project tracking
    • Use advanced Excel functions (VLOOKUP, INDEX/MATCH, PivotTables, Power Query, conditional formatting, etc.) to analyze and summarize data
    • Assist in compiling data for tax returns, audits, and special projects
  • Tax Process Support
    • Maintain the tax department’s compliance calendar (federal, state, international deadlines)
    • Assist with document organization for tax filings, audits, and internal/external reporting
    • Prepare summaries and track changes in tax legislation or regulatory requirements impacting the company
    • Support the tax team in implementing process improvements, software tools, and automation initiatives
  • Communication & Coordination
    • Liaise between the tax department and other departments, ensuring smooth information flow
    • Draft professional correspondence, memos, and reports for leadership review
    • Schedule and coordinate departmental and cross-departmental meetings
Qualifications

Required

  • 5+ years of experience as a Tax Coordinator, Project Coordinator, or similar role
  • Strong project management skills with proven ability to manage multiple high-priority initiatives
  • Advanced Excel skills (including PivotTables, formulas, data validation, and reporting dashboards)
  • Working knowledge of tax processes, terminology, and compliance requirements (federal, state, and international)
  • Excellent organizational skills with meticulous attention to detail
  • Strong written and verbal communication skills
  • Ability to work independently and handle confidential information with discretion

Preferred

  • Experience supporting tax, finance, or legal leadership
  • Familiarity with tax compliance software (e.g., OneSource, Avalara, Corptax)
  • Experience with Power BI, Salesforce, or other reporting/CRM tools
