Our client is a multi-location manufacturer and distributor of lawn and garden products with operations across the United States. As a growing, private equity-backed organization, we are building scalable finance, compliance, and operating processes to support our locations, future acquisitions, and continued growth.
Position Summary
Our client is seeking a detail-oriented Tax & Licensing Accountant to coordinate the company's state and local tax registrations, property tax payment administration, business licenses, and related compliance activities. This role will serve as the central internal owner for compliance calendars, agency correspondence, account registrations, tax bills, license renewals, and third-party provider coordination across multiple operating locations.
This is not primarily a tax-return preparation role. Sales and use tax filings are handled by an external tax advisory firm, payroll tax payments and reporting are handled by our payroll and HRIS provider, and property tax filings are handled by our external property tax provider. The Accountant will ensure required registrations are completed, information flows accurately among internal teams and providers, obligations are tracked, and payments and renewals occur on time.
Key Responsibilities
In this role, you will help keep our client organized and on track with tax registrations, property tax bills, business licenses, and related deadlines across our locations. You do not need to prepare tax returns. You will work with our internal teams and outside providers to make sure important items are completed on time.
Help Set Up State and Local Tax Accounts
- Set up state and local withholding accounts that are not handled by our payroll and HRIS provider.
- Share new account numbers and other registration details with Payroll and the appropriate third-party provider.
- Keep an organized list of our tax accounts, login information, contacts, and registration status.
- Help with registrations when we open or acquire a location, change a legal entity, or add employees in a new jurisdiction.
- Follow up on letters or questions from state and local agencies.
Keep Property Tax Bills on Track
- Work with our third-party property tax provider and serve as the main internal contact for open items.
- Track expected property tax bills, due dates, payment status, and supporting documents for each location.
- Make sure we receive property tax bills and route them for approval and payment.
- Follow up with Accounts Payable, our locations, and tax authorities when a bill is missing, duplicated, late, or unclear.
- Keep proof of payment and help compare our records with the third-party provider and Accounts Payable.
Manage Business Licenses
- Maintain a clear list of business licenses and permits needed at each site.
- Track renewal dates, fees, application status, and copies of current licenses.
- Work with our locations, government agencies, and outside providers to complete applications and renewals.
- Help identify licensing needs for new locations, acquisitions, relocations, name changes, or changes in operations.
- Flag upcoming deadlines early, so licenses do not expire.
Coordinate Providers, Notices, and Reporting
- Help coordinate information and follow-up items with our third-party tax, payroll, property tax, and compliance providers.
- Send tax notices to the right internal team or outside provider and track them until they are resolved.
- Work with Accounting, Payroll, Accounts Payable, Treasury, Legal, and location teams to gather needed information.
- Create simple calendars, trackers, and status reports so upcoming deadlines and open items are easy to see.
- Look for practical ways to improve reminders, workflows, document storage, and reporting as the company grows.
Qualifications
Required
