Job summary

Billings Clinic in Billings, Montana, is seeking a Surgical Scheduling and Data Assistant Lead to coordinate clerical and data support for the Surgery Department. You’ll input data, schedule procedures and maintain essential records in a fast-paced hospital setting.

You will interact with physicians, patients and staff, develop reports and train new schedulers while upholding safety and compliance standards. This is a full-time day-shift role with a competitive wage DOE.

Qualifications

  • High School diploma or GED required.
  • Two years of progressive data management and coordination experience, preferably in health care.
  • Experience with customer service and interacting with physicians and patients.

Responsibilities

  • Maintain a detailed knowledge of the OR information system's functionality and structure.
  • Utilizes computer system to maintain logs, schedules procedures, and input statistics.
  • Coordinate anesthesia provider schedules for Main OR and Surgery Center.
  • Design and produce reports, data graphs and project documentation as needed.
  • Provide routine administrative support and handle department communications.

Employment Status: Full-Time (.75 or greater)

Hours per Pay Period: 1.00 = 80 hours every two weeks (Non-Exempt)

Starting Wage DOE: $21.70 - $27.12

Under general supervision and according to established policies and procedures, is responsible for coordinating clerical and administrative support functions within the Surgery Department to include logs, records and manual maintenance, establishing essential records and databases, inputting data into computer for scheduling, charge entry, in-service time, statistical data, etc. Appropriately interacts with physicians, patients, family and staff. Supports unit activities to ensure smooth functioning of the area.

Essential Job Functions
  • Maintain a detailed knowledge of the OR information system’s functionality and structure. Understands the implications of the data and how the data is utilized. Participates in maintaining the integrity of the system data. Develops and maintains records and files in an organized manner.
  • Utilizes computer system to maintain a variety of logs and information databases, schedule procedures, creates and maintain surgery blocks for Main OR and Surgery Center, documents in-service time for staff, input and retrieve statistical data, etc.
  • Daily review, assignments and coordination of anesthesia provider group for Main OR and Surgery Center.
  • Designs and produces documents, forms, reports and data graphs for projects and programs based on needs identified by the staff and/or leadership. Duties include data gathering, database extractions, and data analysis for various projects and preparation of a variety of reports and data graphs requiring independent judgment with minimal supervision.
  • Provides routine administrative support to the department staff including answering of two incoming telephone lines, communication coordination, and surgery scheduling.
  • Communicates appropriately with customers to identify concerns and issues, investigates and coordinates resolution of non-routine problems. Initiates appropriate follow‑up to ensure that all matters requiring attention are addressed promptly and efficiently. Refers more complex problems to the Clinical Coordinators, Manager or Director as appropriate.
  • Design and develops documentation of new staff orientation and training. Provides training and support to new surgery schedulers.
  • Identifies needs and sets goals for own professional growth and development; meets all system/departmental educational requirements.
  • Maintains competency in all organizational, departmental and outside agency safety standards relevant to job performance.
  • Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.

Minimum Qualifications

Education

  • High School or GED

Experience

  • Two years of progressive experience in coordinating activities and information/data management preferably in a health care field.
  • Prior experience must have also included interactive customer service responsibilities

Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered
