Job summary

U.S. Urology Partners is seeking a Surgery Scheduler in the United States (New York area) to manage accurate scheduling of surgeries, coordinate pre/post‑op steps, and act as a liaison among hospitals, patients and physicians.

The role requires strong organization and attention to demographic and insurance details. Responsibilities include communicating procedures, arranging appointments, and ensuring documentation in Medent and Surgical Book Planner.

Qualifications

  • High School diploma or GED required.
  • Minimum of three years of surgery scheduling experience.
  • Medical Assistant or CNA certification preferred.

Responsibilities

  • Schedule patients accurately for surgical procedures, including pre/post‑op appointments and testing.
  • Provide patients with procedure details, preparation instructions, and scheduling information.
  • Communicate effectively with patients, staff and physicians.
  • Coordinate scheduling to maximize efficiency and meet department goals.
  • Serve as contact for hospitals, surgery centers and physicians regarding schedules.
  • Verify insurance requirements and obtain necessary authorizations.
  • Document surgeries in Medent and Surgical Book Planner with all details.
  • Maintain accurate daily physician surgery schedules and adjust as needed.

About The Role

The Surgery Scheduler is responsible for accurate scheduling of surgeries as directed by the physician, including ensuring that all patient demographic information is obtained correctly at the time of the surgery. Services include scheduling at various hospitals and surgical centers. The Scheduler serves as a liaison between the hospital, patient and physician.

What You’ll Be Doing
  • Schedule patients accurately and efficiently for any and all surgical procedures requested by physicians. This includes scheduling pre‑ and post‑operative appointments and testing as well as obtaining medical clearances.
  • Provide patients with all necessary information regarding their procedure, including special diet or preparation instructions, insurance information, surgery and appointment dates, arrival times and locations, via verbal, written, or electronic communication. Interpreter services or other arrangements may be required.
  • Communicate effectively and in a friendly manner with patients, staff and physicians as well as outside sources.
  • Organize work for efficiency and problem‑solving related to surgery scheduling and its impact on physicians and the clinical office.
  • Collaborate with other schedulers to maximize utilization and meet department goals.
  • Serve as contact for hospitals, surgery centers and physicians regarding schedules, procedures or concerns while sharing information and working with manager, supervisor, co‑schedulers and physicians.
  • Stay up‑to‑date on all insurance requirements and follow all guidelines, requesting prior authorizations and verifying insurance benefits.
  • Document scheduled surgeries in Medent chart messages and Surgical Book Planner, including details such as surgery, location, time, case length, confirmations, notification dates, contacts, equipment reps, and clearance appointment locations.
  • Verify all demographic information, including insurance, and ensure pre‑certification, prior authorizations or referrals are requested as needed.
  • Ensure that all scheduled clearance and tests are completed, results received and sent for surgical charts as required by each hospital or surgery center.
  • Reschedule or cancel surgery and post‑op appointments to minimize inconvenience to the patient, notifying the correct hospital or surgery center.
  • Maintain accurate daily physician surgery schedules.
  • Maintain knowledge about urological procedures and facility requirements.
  • Represent U.S. Urology Partners professionally in appearance, communication and patient confidentiality.
  • Perform other duties as assigned.
What We Expect From You
  • High School Graduate or GED.
  • Minimum of three years surgery scheduling experience.
  • Medical Assistant Certification or Certified Nursing Assistant preferred.
Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

Thorough knowledge of computer information systems.

Physical Demands

Employee frequently required to stand, walk, sit, use hands, reach, stoop, kneel, crouch, or crawl and talk or hear. Must frequently lift and/or move up to 10 pounds and occasionally up to 25 pounds. Reasonable accommodations may be made.

Work Environment

This job operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Salary Range: $15.00 - $22.00 / hour
