Knoxville Orthopaedic Clinic (KOC) is seeking a Surgical Coding Assistant to join our Medical Records team. You will review operative reports and charging details to prepare complete case information for Coders, while coordinating with providers and Revenue Cycle staff to prevent delays.

The ideal candidate is detail-oriented, organized, and able to manage multiple priorities with confidential information. Orthopaedic workflows and coding terminology familiarity are a plus.

Qualifications

• High school diploma or equivalent required.
• Experience in medical records, surgical scheduling, coding support, charge entry, medical billing, or a comparable healthcare administrative role.
• Working knowledge of medical terminology, clinical documentation, healthcare privacy requirements, and basic Revenue Cycle processes.
• Strong attention to detail and ability to accurately review detailed medical and administrative documentation.
• Strong organization, communication, research, customer-service, and problem-solving skills.
• Ability to professionally communicate documentation needs and follow-up requests with providers and other Team Members.
• Ability to manage multiple priorities, recurring deadlines, and confidential information with accuracy and discretion.
• Ability to follow outstanding items through resolution and appropriately escalate unresolved concerns.
• Proficiency with electronic health records, practice-management systems, spreadsheets, email, and common office applications.
• Preferred: Associate degree, coding coursework, health information education, or related training.
• Preferred: Experience in orthopaedic organization, surgical specialty, multi-site physician practice, or other complex healthcare environment.
• Preferred: Experience reviewing operative reports or supporting surgical coding workflows.
• Preferred: Entry-level credential in medical coding or health information.

Responsibilities

• Review surgical cases, operative reports, procedure documentation, charge information, authorizations, and supporting records for completeness.
• Prepare and organize case information for Surgical Coders according to established workflows and deadlines.
• Monitor assigned work queues, pending cases, edits, and outstanding documentation and follow items through resolution.
• Identify missing, conflicting, or incomplete information and obtain clarification through established processes.
• Verify that required documents, signatures, dates, procedure details, and supporting information are associated with the correct patient and encounter.
• Assist with routing documentation, updating work-queue status, and resolving administrative issues that may delay coding or billing.
• Maintain accurate notes, case-status updates, correspondence, and supporting documentation in applicable systems.
• Communicate documentation needs, case delays, and unresolved concerns to Surgical Coders, providers, clinical Team Members, and leadership.
• Collaborate with authorization, scheduling, charge entry, billing, and Revenue Cycle Team Members to research discrepancies and support timely claim submission.
• Review work for completeness and accuracy before submission or closure.
• Assist with audits, denials, quality reviews, and corrective-action activities by locating and providing appropriate documentation.
• Monitor assigned workload and meet established productivity, accuracy, turnaround-time, and follow-up expectations.
• Identify recurring documentation gaps or workflow barriers and communicate opportunities for improvement to leadership.
• Maintain patient confidentiality and protect sensitive clinical, financial, and organizational information.
• Stay current on surgical documentation workflows, payer requirements, applicable coding guidance, systems, and KOC procedures.
