Eyehealth-Northwest- seeks a detail-oriented patient scheduling coordinator to manage surgery and procedure appointments, verify insurance data, and liaise with surgeons, centers, and providers to ensure seamless care. Qualifications

  • High School diploma or equivalent is required or one year of relevant experience.
  • Ability to use Windows-based programs and basic computer applications.
  • Strong interpersonal and communication skills; customer-focused.
  • Detail-oriented with good organizational abilities.
  • Knowledge of insurance basics and patient eligibility helpful.

Responsibilities

  • Schedule, change, cancel, and confirm patient appointments for surgery and/or procedures.
  • Coordinate with Surgery Center/Hospital staff, PCPs, and insurance providers.
  • Collect and verify patient demographic and insurance information; update as needed.
  • Schedule diagnostic tests and obtain referrals/authorizations as required.
  • Transfer patient information to Surgery Center/Hospital as needed.
  • Inform patients about appointments, costs, and potential out-of-pocket expenses.
  • Collect payments for non-covered procedures when applicable.
  • Ensure services meet patient needs and that work is efficient and accurate.
  • Prepare for surgery dates with necessary referrals and documents.
  • Foster teamwork, maintain HIPAA compliance, and communicate clearly with staff and patients.

SummaryResponsible for coordinating and scheduling patient surgeries and other procedures. Maintain and update patient information in data base. Perform work with a focus on effective communication with the patient, coworkers, and the physician. Demonstrate cooperation with coworkers while striving to ensure the highest level of patient care and “customer service,” always representing EHN in a professional manner.Supervisory ResponsibilitiesThis position does not have supervisory responsibility but will provide guidance to employees and/or assist with orientation and training of new employees of the work group.Primary Duties and ResponsibilitiesSchedule, change, cancel, and confirm patient appointments for surgery and/or other procedures, coordinate work with Surgery Center or Hospital Staff, Primary Care Physician, and Insurance Provider.Gather from patient their information to make sure it is current and correct such as demographic information, insurance carrier and benefits as well as the primary care physician if needed.Schedule diagnostic testing that may be required to perform surgery; verify/obtain a referral/authorization as needed.Prepare and transfer patient information to the Surgery Center/Hospital as needed.Act as the resource to the patient to provide information to patients such as appointments, cost, and possible out of pockets expenses.Collect doctor portion payments for any non-covered procedures.Scan Surgery Fee tickets to bookkeeping and other documents needed to perform the surgery.Ensure that services and products are appropriate to meeting the patient needs and that work is performed in an efficient, timely, and accurate manner.Prep for providers particular surgery date; make sure referral/auth is in place, proper documents have been received to perform the surgery, make any changes to check-in times if needed, create fee tickets for surgery.Demonstrate team values through cooperation and consideration of coworkers; foster goodwill among coworkers by aiding when needed and sharing information that helps others do their job; interact with tact, courtesy, and diplomacy.Effectively communicate with coworkers, doctors, and patients; share information appropriately and complete the communication circle with follow-up as needed; communicate in a positive, upbeat manner while refraining from complaining, gossiping, or engaging in conversations of a negative tone.Maintain a neat, clean, and orderly work area.Protect confidential patient information and use good judgment in sharing patient information in a manner that is consistent with patient care and current laws and regulations, including HIPAA.Adhere to all safety standards as established by company policy and OSHA requirements.Education and/or Experience; Certificates, Licenses, and Registrations (Minimum Requirements)High School diploma or EquivalentMinimum of one year experience preferred.An equivalent combination of education, experience and training that would provide the knowledge, skills and abilities required for the successful performance of the essential job duties.Necessary Knowledge, Skills, and AbilitiesMust be computer literate with proficiency in Windows based programs.Knowledge and understanding of different types of insurance coverage and eligibility.Must be very organized with the ability to effectively prioritize duties.Strong interpersonal skills with a genuine desire to help and assist people.Ability to address patient complaints and effectively resolve problems.Must be detail oriented.Ability to communicate clearly and concisely, both orally and in writingCustomer Service skill.Physical Demands / Work EnvironmentMajority of work is performed in a general office environment.
