Support Services Analyst (Engineering & Public Works)

We’re looking for a detail‑oriented professional to support our Fleet and Facilities divisions through a mix of administrative, operational, and analytical work. A major focus of this position is asset management, data analytics, and optimization of the resources that keep our organization moving.

JOB SUMMARY

This position is assigned administrative and management work designed to provide professional support. These assigned responsibilities will aid the department personnel in the development and ongoing administration of a variety of fleet, inventory, and facilities programs and services, and in the management of related administrative functions as well as assist in the planning and/or execution of administrative operations. This position will include a strong focus on asset management and data analytic initiatives for the Fleet and Facilities divisions. The position will focus on business intelligence including predictive analytics to accurately time proper operational and capital investments to drive efficiency, prioritize capital expenditures supporting village strategies, and focus on asset lifecycle costs. This position assumes responsibility for assigned projects and will be required to analyze different approaches to projects and make recommendations and/or decisions on how to manage the project and related problems. Supports the divisions in planning, implementing, and reviewing a variety of operational functions and capital improvement projects. Additional responsibilities may also include creating contract documents, assisting divisional staff with bidding and procurement, and the preparation of materials for divisional presentations.

JOB DUTIES
  • 1. Investigates, evaluates, and analyzes existing and proposed activities to improve support services, increase job productivity, and lower operational costs. Assists and trains employees in the effective use of facts, data, and objective analysis for use in decision-making and process improvement. Implements plans for improvement taking into consideration the impact of the changing conditions and makes an accurate assessment of the results.
  • 2. Assists in the preparation, coordination, and presentation of the department’s annual budget, vehicle replacement plan, capital improvement program, financial forecasting, and internal fiscal controls.
  • 3. Assists in developing and deploying technologies, processes, and tools for communication, business intelligence, asset lifecycle management, preventive maintenance planning/scheduling, budget management, and process automation.
  • 4. Acts as program administrator for asset management software. Works with department staff, other departments, and contractors to maintain and monitor the software, database, and connections to data.
  • 5. Acts as the Information Technology liaison for the Fleet and Facilities division’s technology and hardware.
  • 6. Acts in the capacity of project lead for special projects, including meeting facilitation and coordination among employees both within and outside of the department.
  • 7. Provides critical input for the development of maintenance management plans for operations divisions.
  • 8. Tracks and reports on key performance indicators related to Fleet and Facilities divisions.
  • 9. Conducts timely reviews of the Fleet and Facilities divisional policies and procedures and makes recommendations for changes. Works in concert with designated staff to bring applicable changes to standing committees and the village board for adoption.
  • 10. Performs other duties as assigned.

May prepare and submit applications for awards and grants. May assist with planning, coordinating and working special events within the department including the annual open house, take your child to work day, recycling events and other special events as assigned. May serve as one of the points of contact within the department for visitors, community, and organizational members to determine and implement appropriate responses to inquiries and concerns as it relates to support services body of work. Responds to complaints submitted by the public as directed.

QUALIFICATIONS
  • 1. Master’s degree in public or business administration or a related field.
  • 2. A minimum of two years of experience in a similar position, which shall have been at the level of administrative or management intern or higher.
  • 3. Proficiency with current computer technology, job-specific software, and customer service systems.
STARTING SALARY RANGE

$88,876.00 - $98,874.00 annually dependent on qualifications.The salary range for this position is $88,876.00 - $128,870.00.
