Job description

The Supply Chain Purchasing Coordinator ensures the timely, accurate, and cost-effective flow of medications and medical supplies to Pure Infusion’s 70+ clinics. This role manages daily purchasing activity, including processing purchase orders, tracking and expediting orders, and coordinating with pharmaceutical wholesalers, medical supply distributors, and pharmaceutical manufacturers.

The Coordinator treats the clinics as internal customers, making sure clinic teams have the medications they need so patient care always comes first. The role works closely with the Supply Chain Inventory Analyst, clinic staff, Clinical Operations, Intake, Finance and Accounting, and Group Purchasing Organizations (GPOs) to support sourcing changes, resolve supply issues, and keep Pure Infusion’s purchasing process reliable and responsive.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Reviews the Clinic Purchasing Calendar and processes purchase orders generated in WeInfuse, confirming that quantities are accurate and that acquisition prices match the approved Product Item Master.
  • Adjusts system-generated purchase orders within established approval thresholds, obtaining Supply Chain Manager approval for adjustments that exceed them.
  • Tracks and expedites orders from placement through delivery, and maintains accurate open and closed purchase order records in WeInfuse.
  • Partners with clinic nurses, Clinical Operations, Intake, and the Supply Chain Inventory Analyst to anticipate medication needs and respond to urgent requests or supply disruptions.
  • Coordinates with approved wholesalers, distributors, and manufacturers to ensure timely delivery of medications and medical supplies, maintains productive relationships with suppliers and GPOs, and resolves quality, service, and delivery issues.
  • Monitors product shortages, allocations, market disruptions, and product trends that may affect availability or pricing, and coordinates allocations, backorders, and secondary-wholesaler purchasing according to established procedures, escalating to Supply Chain leadership as needed.
  • Supports strategic sourcing initiatives by updating product and wholesaler records in WeInfuse when approved sourcing changes occur, ensuring purchases transition to the designated supplier accurately and without disruption.
  • Processes return goods authorizations (RGAs) with wholesalers, distributors, and manufacturers, and works with Finance and Accounting to confirm that credits are issued or replacement product is received.
  • Partners with the Supply Chain Inventory Analyst and Clinical Operations to coordinate product recalls with wholesalers, manufacturers, and clinics.
  • Places orders for medications provided through manufacturer and foundation free-drug programs after required approvals, appointment scheduling, and prescription documentation have been confirmed by the responsible departments.
  • Maintains accurate, audit-ready records of purchasing activities, purchasing metrics, and wholesaler service levels.
  • Recommends and documents improvements to purchasing processes, procedures, and policies for review and approval by Supply Chain leadership.
  • Conducts random cycle counts and quarter-end inventory spot checks at local clinics in partnership with the Supply Chain Inventory Analyst.
  • Provides occasional backup support for receiving medications at local clinics when clinic staffing requires.
  • Participates in cross-training to ensure continuity of critical Supply Chain functions.
  • Follows applicable Pure Infusion policies and regulatory requirements in all purchasing activities.
  • Performs other duties as assigned, including transitional support for shipping remaining free-drug inventory from the Phoenix corporate office until that inventory is depleted.
