  • Certified Procurement Transplant Coordinator (CPTC) certification is required and must be obtained within 24 months.
  • Minimum of 3 years of experience in critical care is required.
  • Experience in OPO is preferred.
  • Experience as a preceptor in a clinical setting is preferred.
  • Experience in leadership is preferred.
  • Current Driver’s License is required and maintained with an acceptable driving record as defined by STA policy.

Activities include, but are not limited to, being knowledgeable of individual hospital and OPTN policies related to the donation of all anatomical gifts; able to identify key personnel who are capable of improving and maintaining a hospital's level of participation in facilitating potential organ and tissue donors; and performing activities related to the initial and surgical recovery elements of the donation process. Advancing level responsibilities include advanced donor management strategies and invasive procedures. The position will also facilitate the general activities required throughout the donor recovery period under the direction of the medical director, clinical management team, and the lead recovery surgeon present in the operating room.

Essential Job Functions And Responsibilities
  • Communication
    • Participate in team huddles.
    • Responsible for critical communications related to donor activity, as needed.
    • Collaborate with the Administrator on Call (AOC), Chief Medical Officer (CMO), Advanced Practice Provider (APP) team, and/or Director, Clinical Services to evaluate and address complex case issues, particularly those with potential significant financial, regulatory, or legal impact to the organization.
  • Time Management
    • Maintain skills at all levels of ORC by performing onsite donor management during at least one (1) shift monthly or as required for operational needs.
    • Perform advanced procedures of bronchoscopy and arterial and central lines on donors, as needed.
    • Maintain regular office hours in addition to all responsibilities.
    • Manage schedule of assigned direct reports to ensure adequate staffing.
    • Oversee activities related to potential donor referrals and dispatch staff onsite for completion of consult, approach, and various clinical activities.
  • Attention to Detail
    • Review information documented in case charts to verify accuracy and completeness of documentation.
    • Ensure proper documentation of training plans for direct reports.
    • Adhere to BTM guidelines and established materials management requirements to ensure appropriate utilization, documentation, and management of supplies.
  • Problem‑Solving
    • Actively monitor referrals and case activity, providing input for optimal strategies.
    • Participate in donor case review.
    • Oversee the coordination and execution of research initiatives and Quality Improvement initiatives (PDSA) approved by organization leadership under the direction of Clinical leadership.
  • Accountability
    • Perform, oversee, and provide clear direction to others related to all assigned duties and expectations of Organ Recovery Coordinators.
    • Serve as next level of in‑field operational coverage when established staffing resources and all other reasonable coverage alternatives have been exhausted to ensure continuity of Clinical Services operations.
    • Complete organization leadership development training, as assigned.
    • Approve employee expense reports timecards, and Paid Time Off (PTO) requests in accordance with organization guidelines and policy.
    • Oversee use of HelloTracks to support operational accountability, including monitoring staff utilization and deployment, identifying and addressing discrepancies, and ensuring adherence to established departmental expectations.
  • Conflict Resolution
    • Participate in root cause analysis related to department functions.
    • Conduct employee appraisal, performance improvement plans, and corrective action plans under the direction of the Manager, Clinical Services.
  • Coaching & Feedback
    • Assist the People Services department in recruiting, interviewing, and onboarding of direct reports.
    • Assist the Learning & Development department in the development of training materials, programs, curriculum, and continuing education related to clinical functions.
  • Performs other job‑related duties as assigned that are consistent with the purpose of the role.
Education, Experience, And Licensing Requirements
  • Associate’s degree in nursing, healthcare, allied science, or related field is required. Bachelor’s degree is preferred. A combination of alternative education and experience may be considered in lieu of the formal education requirements.

Employees in this role routinely perform job duties that may involve direct contact with blood, bodily fluids, or other potentially infectious materials (OPIM).
