STUDENT SERVICES COORDINATOR

Your Competitive Edge

Where You Make Your Mark
The Student Services Coordinator is the first voice and first face prospective students encounter at Jet Access Flight Training. This role owns the frontline client experience by responding to inquiries, capturing accurate lead information, providing high-level program information, scheduling Student Advisor appointments and Discovery Flights, and ensuring every prospective student receives timely follow-through. The front desk, inbound communications, and in-person experience inside the flight school all run through this seat.
Client Inquiries and Frontline Support
- Answer inbound calls and capture complete prospective student information, including location, training interest, name, phone number, email address, and relevant follow-up notes
- Provide a clear, high-level overview of Jet Access Flight Training programs and available pathways while directing detailed program, financing, eligibility, and enrollment questions to a Student Advisor
- Schedule Student Advisor appointments through the advisor booking link and confirm the date and time with the prospective student before the interaction ends
- Send a post-call follow-up email that summarizes the conversation, introduces the assigned Student Advisor, and restates the advisement appointment details
- Respond to inbound flight training text messages through White River Network and offer a follow-up call or Student Advisor appointment based on the prospective student’s readiness
Email, Digital, and Lead Follow-Up
- Respond to all online inquiries promptly and with the polished, professional tone that defines the Jet Access client experience
- Disburse the correct approved information packet when a prospective student requests details on a specific program
- Make warm introductory email connections between the prospective student and assigned Student Advisor, including the advisor booking link and complete handoff notes
- Maintain accurate records of every inquiry, contact attempt, appointment, and next step so no prospective student goes without a response
- Track outstanding inquiries and follow up with prospective students who have not responded or have not yet scheduled an advisement appointment
Discovery Flight Coordination
- Sell Discovery Flights by phone, or provide the purchase link by email when the client prefers to purchase independently
- Log every Discovery Flight sale on the SharePoint tracking sheet the same day it is sold
- Confirm the client’s preferred location and several date and time options, then review Flight Schedule Pro and coordinate with the assigned Certified Flight Instructor
- Send required waivers through DocuSign and update the client’s Flight Schedule Pro profile role to Discovery Flight when the purchase is made through the link
- Follow up with the client on availability, make the email introduction to the Certified Flight Instructor, and notify the flight training team once the flight is complete so next steps can begin
Front Desk and Facility Presence
- Greet walk-in visitors, gather their information, and provide hardcopy program packets
- Conduct facility tours that present the flight school, fleet, and training environment at their best while directing detailed advisement questions to a Student Advisor
- Maintain flight school cleanliness throughout the shift, including vacuuming, mopping, and restroom upkeep
- Restock coffee, water, cups, and napkins so client-facing areas are always ready for visitors
- Keep the front desk staffed and presentable so every client and student is met promptly by a Team Member
Daily Execution and Shift Turnover
- Complete turnover duties at the start of each shift, responding to outstanding emails and returning as many missed calls as the shift allows
- Contact every client left open on the prior shift’s log so no outreach goes unfinished
- Maintain the phone log in real time with accurate notes on each contact and the follow-up it requires
- Complete checklists and email the completed and incomplete phone log contacts to the flight training group before clocking out
- Complete special projects and initiatives as needed, embracing opportunities to contribute to Jet Access’s continued growth and success
Who Thrives in This Seat
The Skills You Carry In
- High school diploma or equivalent
- Basic foundational knowledge of the flight training industry and Jet Access program offerings; additional training will be provided
- Strong written and verbal communication skills with a polished, client-facing presence
- Exceptional organizational skills and attention to detail with the ability to multitask
- Proven ability to perform accurately and calmly in a fast-paced environment
- Proficiency in Microsoft Office Suite and comfort learning aviation operations platforms such as Flight Schedule Pro, DocuSign, and Crunchtime Ops; training provided
- Must pass a background check and pre-employment drug screening
- Deep alignment with Jet Access core values and a genuine commitment to delivering exceptional client experiences
What This Role Asks of You
- On-site presence at the assigned Jet Access Flight Training location for every scheduled shift; this is not a remote position
- Ability to remain at the front desk and on the phone for the duration of the shift, with frequent standing, walking, and movement throughout the facility
- Ability to lift and carry up to 25 pounds and to perform light facility upkeep, including vacuuming, mopping, and restocking client areas
- Valid driver’s license
- No routine travel; occasional local travel between flight training locations may be requested

What the Days Look Like
- Part-time, Monday through Friday; first shift 9:00 a.m. to 1:15 p.m. or second shift 1:00 p.m. to 5:15 p.m.
- Reliable, on-time arrival for every scheduled shift, because front desk and phone coverage depends on it
- Disciplined end-of-shift turnover so the incoming Coordinator starts with a complete picture
- Follows through on open client contacts within the shift rather than leaving them for the next one
- Attends assigned team meetings prepared with client and inquiry updates
