DESCRIPTION

Under the direction of the assignedmanager, provide advanced support services to students in variousDistrict programs and services including various categoricallyfunded programs; to refer students to other District services,community agencies, the general public, and opportunities asappropriate; and to perform a variety of tasks relative to assignedarea of responsibility. This is a generic classification serving atthe journey level in terms of student issues and thensolutions.

DISTINGUISHING CHARACTERISTICS

This classificationserves at the advanced level of knowledge within a specialized unitin a student services organization. This classification serves as alead function within a service or program.

Responsibilities and Duties
ESSENTIAL FUNCTIONS
  • Performs advanced technical and administrative dutiespertaining to specialized District programs; coordinates thetechnical administrative aspects of program planning anddevelopment.
  • Assists and performs complex customer relations work to educateand market program services to businesses, organizations, potentialprogram participants and the general public; performs assessmentsof organizational needs in order to develop and/or modify programgoals.
  • Serves as a lead worker, plans, coordinates and monitors thework of subordinate technical and clerical support staff;schedules, assigns and monitors the activities of part-time and/orstudent workers.
  • Serves as a technical resource to others regarding the mostcomplex program activities and issues; serves as the Districtliaison with outside agencies, groups and individuals regardingprogram support and activities.
  • Assists and/or oversees the day-to-day operations of a programoffice or site.
  • Performs comprehensive case management services for programparticipants; matches students with program services; networks withother service providers and makes appropriate referrals.
  • Plans and coordinates outreach programs and activities;including the use of office space, by employers, collegerepresentatives and others.
  • Plans, presents and delivers oral and visual presentations,orientations, workshops and seminars to students or communitymembers on behalf of the program; meets with employers to promoteand offer job employment services from the college; participates oncommittees and task forces as assigned.
  • Plans and coordinates special activities, field trips, jobfairs, on campus recruitments and other events; maintains mastercalendars; prepares informational newsletters and bulletins,highlighting upcoming events.
  • Oversees and monitors student participation in assignedprograms and services; monitors and evaluates program activitiesand procedures; plans, develops and presents recommendations toimprove technical methods and techniques of programadministration.
  • Performs complex research on internal and external data,methods, mechanisms and processes; performs advanced technical dataanalyses and comparisons; compiles, prepares and presents data tomanagement for evaluation.
  • Enters, maintains, tracks, evaluates and presents complex datamaintained in manual and/or automated systems; develops and runscomplex computerized queries; tabulates and summarizes data;identifies trends and concerns; prepares summary reports.
  • Explains and interprets complex program policies, regulationsand operational procedures to people contacting the office such asfaculty, students, staff and the general public.
  • Reviews, verifies and processes program-related forms,applications and other documents based on applicable laws,regulations, policies and procedures; determines program/serviceeligibility; performs follow-up actions as needed.
  • Meets with program participants to collect and reviewtranscripts, test scores and other academic progress documents;provides technical information regarding transfer requirementsand/or career goals; reviews and tracks progress related toeducational and career plans; assists program participants incompleting college enrollment, financial aid, scholarship and otherapplications.
  • Organizes, plans and develops work accomplishmenttimelines.
  • Maintains supply and equipment inventories; recommends neededpurchases; prepares purchase requisitions; receives and processesinvoices and forwards for payment.
  • Establishes and maintains complex file and record systems,including those for confidential and sensitive materials.
  • Independently responds to complex inquiries and correspondence;prepares information and data requested for administrative review;prepares reports, files, correspondence and other documents; maydevelop and prepare visual presentations, flyers, and graphicmaterials.
  • Provide information and support services to students in variousDistrict programs and services.
  • Design and develop promotional literature, pamphlets, forms,and displays of the various services offered by the District;virtual help desk support; update web pages and social media.
  • Organize market events and workshops; contact and makearrangements for speakers; coordinate facilities andresources.
  • May process financial transactions or contracts; initiaterequisitions and purchase orders, as required.
  • Perform related duties and responsibilities as assigned.
Qualifications
Knowledge of
  • Principles and procedures of student interviewing andassessment.
  • Program goals, guidelines, policies, procedures and eligibilityrequirements of assigned program or service.
  • Current issues and trends relative to assigned areas ofresponsibility.
  • Principles and techniques of job search including resumewriting, interviewing and follow-up.
  • Principles and procedures of record keeping.
  • Standard office procedures, methods and equipment includingcomputers, internet research, database and MS Office softwareapplications.
  • Basic webpage and social media operations.
  • Pertinent Federal, State and local codes, laws and regulationsand the California Education Code.
Ability to
  • Provide assistance and information to students with educationalor vocational barriers.
  • Provide information to students and the public regardingavailability of District programs and services.
  • Determine eligibility and matriculation requirements for newand transfer students.
  • Recognize and understand student needs and make appropriatereferrals.
  • Provide testing services to individual students and in supportof various campus programs.
  • Respond to a wide variety of requests and inquiries fromstudents, faculty, staff and the public.
  • Effectively present information to small and large groups.
  • Work independently and as a member of a team.
  • Prioritize assignments; organize and work on several projectssimultaneously.

EDUCATION AND EXPERIENCE

Any combination ofexperience and training that would provide the required knowledgeand abilities is qualifying. A typical way to obtain the requiredknowledge and abilities would be:

Education

Associate’s degree from an accreditedcollege or university with major course work in businessadministration, education or a related experience field.

Experience

Four years’ experience providinginformation and career assessment services or a related field tostudents.
