Job summary

FINRA is seeking a Senior Executive Assistant to provide comprehensive administrative support to the EVP of Board and External Relations and other senior executives. The role includes calendar management, travel logistics, meeting prep, and confidential project support.

Responsibilities include coordinating complex schedules, handling communications, preparing Board materials, and assisting with PowerPoint presentations.

Qualifications

  • High school diploma or equivalent; additional education preferred.
  • Ten years of related experience as secretary/administrative assistant/executive assistant or similar.
  • Strong written and verbal communication, administrative and organizational skills.
  • Proficiency in Word, Excel, PowerPoint and Teams; Zoom experience.
  • Experience with self-service travel and expense systems such as Workday.

Responsibilities

  • Manage sophisticated calendars with complex scheduling across internal staff, Board and External Relations, and outside groups.
  • Handle calls, emails, and correspondence; draft materials and prioritize inquiries.
  • Coordinate meetings, travel, venue, and logistics; prepare Board materials and assist at meetings.
  • Arrange travel and offsite events; track expenses and prepare expense reports.
  • Interact with internal and external stakeholders professionally and confidentially.
  • Support records management and PowerPoint preparations as needed.
  • Provide other highly confidential administrative support and align with FINRA values.
