Job summary

Meritage Homes is seeking a Starts Coordinator responsible for initiating new home starts on schedule across divisions. This role will collaborate with construction, scheduling, mortgage, design, and municipalities to gather all required information to start homes.

Key duties include tracking permits and plot plans, maintaining the starts calendar, requesting and monitoring required documents, and communicating permit status to Production, VP of Operations, and Construction Managers.

Qualifications

  • Must have strong proficiency with Microsoft Windows Office (Outlook, Word, Excel).
  • Excellent written and verbal communication and interpersonal skills.
  • Highly organized with ability to prioritize multiple projects in a fast-paced environment.

Responsibilities

  • Track and manage the starts schedule, including permit status and lot information.
  • Coordinate with Sales, Construction, municipal offices and finance to assemble start packages.
  • Review plot plans for accuracy before municipal submission.
  • Monitor permit applications and communicate status to Production and Operations managers.
  • Prepare required permit documents and manage related payments and fees.
  • Maintain multiple Excel trackers for sales, plots, permits, and costs.
  • Upload information to BuildPro and coordinate with trades as needed.
  • Support pre-starts cycle time milestones and tracking.

Responsibilities

The Starts Coordinator is responsible for ensuring that new home sales are started in a timely manner to meet division and corporate cycle time goals while managing starts schedule. This position will work with construction, centralized scheduling, mortgage, design studio and municipalities to gather all information required to start homes.

  • Track and manage the starts schedule including permit status, lot information, while maintaining the starts calendar.
  • Request, completed documents as needed and monitor pre-starts cycle time milestones, plot plan applications and requirements, municipal applications and any other requirements needed to complete the start process.
  • Request permit options from Sales team and prepare required permit documents.
  • Review plot plans for accuracy prior to submittal to local municipalities
  • Continuous monitoring of submitted permit applications across all communities and communication of permit status to Production Manager, VP of Operations, and Construction Managers
  • Manage consultant preparing detailed community maps of starts, closings, plans and elevations
  • Provides estimates of permit fees to Finance Department for budgeting purposes
  • Manage and ensure payment of all fees relating to permitting, utilities, and re-inspections
  • Prepares and processes check requests for permits, Forward Planning, and Operations Departments
  • Tracks review and approval of draft plot plans by Sales and Construction Managers
  • Revises and updates Division Starts Tracker with sales and permit status
  • Maintain multiple EXCEL trackers of sales, plots, permits, costs, option selections, etc. status and costs
  • Maintain communication with multiple departments concerning status of start, and items needed to complete packages and upload pertinent information to BuildPro including communicating to trades when information is available

Qualifications
  • Minimum High School Diploma or equivalent required. Bachelor's Degree strongly preferred.
  • Minimum of 5 years of experience in an office support position. Prefer a construction background and experience/knowledge in the homebuilding industry
  • Strong computer skills with expertise in Microsoft Windows Office applications, including Outlook, Word, and Excel
  • Good Oral/Written Communication and Interpersonal Skills, ability to communicate effectively in a professional manner
  • Ability to give, receive, analyze information, and interpret complex issues in order to determine the root problem and make effective decisions to bring the issue to a successful conclusion Highly organized and flexible; with the ability to prioritize multiple projects and meet deadlines, often with frequent interruptions and changing circumstances, in a high-volume fast-paced work environment
  • Daily interactions with Trade Partners, construction personnel, Sales, Municipalities, and employees at all levels of the organization
  • Ability to handle the stress of dealing with trades, and react favorably to resolve issues in a positive manner
  • Team Player; and demonstrated ability to work within cross-functional teams
  • Work is generally performed in an office environment
  • Work is generally performed during what is considered to be normal business hours, however the job may require extended hours and weekends to meet business needs
