Job summary

You will coordinate staffing for projects across the country, dispatching craft professionals for industrial turnaround work and partnering with project management and HR.

The role blends workforce planning, recruiting support, and operations collaboration in a fast-paced environment.

Qualifications

• Experience coordinating hiring, scheduling, onboarding, or workforce activities in a high-volume environment.
• Experience with Microsoft Excel and Word.
• Ability to travel up to 10% of the time to attend job fairs and site visits as needed.
• Legal authorization to work permanently in the United States.

Responsibilities

• Manage employee logistics and project staffing plans to optimize resources.
• Develop and maintain turnaround staffing plans with PM and HR.
• Coordinate recruitment, scheduling, and deployment of direct employees for construction projects.
• Use data-driven analysis to develop staffing strategies for ROI and efficiency.
• Coordinate and verify customer site entry requirements, including safety orientations, drug screenings, and background checks.
• Maintain compliance by completing site access documentation and records.
• Organize workload in a fast-paced, dynamic environment.
• Enter and maintain training records in KSPS personnel database.
• Draft clear communications to keep the transient workforce informed about upcoming projects.
• Collaborate with cross-functional teams to recruit, retain, and develop skilled craftsmen.

Koch Specialty Plant Services (KSPS), a Koch Engineered Solutions Company, is seeking a Staffing Coordinator to join our team. As a Staffing Coordinator, you will play a vital role in coordinating staffing for projects across the country, helping to dispatch/mobilize hundreds of craft professionals for industrial turnaround projects. The ideal candidate will have experience in an industrial, construction, or similar operational environment but is open to other industries as well. This role offers a unique blend of workforce planning, project coordination, recruiting support, and operations partnership. This role will sit in our Houston, TX office.

What You Will Do

• Coordinate the recruitment, scheduling, and deployment of direct employees for construction projects
• Utilizing data-driven analysis to develop and deploy staffing strategies that maximize ROI and operational efficiency
• Coordinating and verifying customer site entry requirements, including safety council orientations, drug screenings, background checks, and site access forms
• Maintaining compliance by accurately completing all site access documentation and records
• Organizing and prioritizing workload efficiently in a fast-paced, dynamic environment
• Entering and maintaining accurate training records in the KSPS personnel database
• Drafting clear, professional communications to keep our transient workforce informed about upcoming projects
• Collaborating with cross-functional teams to recruit, retain, and develop skilled craftsmen

Who You Are (Basic Qualifications)

• Experience coordinating hiring, scheduling, onboarding, or workforce activities for a high-volume or changing workforce environment
• Experience with the Microsoft Suite of products, specifically with Microsoft Excel and Word
• Ability to travel up to 10% of the time to attend job fairs and site visits as needed
• Ability and willingness to work overtime as needed
• Legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship now or in the future

What Will Put You Ahead

• Bilingual Spanish/English communication skills
• Experience using the DISA platform, specifically for ordering drug testing and background checks to verify employee site eligibility
• Experience utilizing an enterprise resource planning (ERP) program
• Ability to navigate multiple safety council databases for scheduling and compliance
