Join Our Mission

We are seeking a detail-oriented and mission-driven Staff Accountant to join our team. This position plays a critical role in maintaining the financial integrity of the organization through accurate accounting, financial reporting, grant tracking, payroll support, and compliance with nonprofit accounting standards. The Staff Accountant will work closely with organizational leadership and the CFO to ensure sound financial management that supports our mission and programs.

Position Summary

The Staff Accountant is responsible for performing a variety of professional accounting duties, including maintaining general ledger accounts, preparing journal entries, reconciling bank statements, tracking grants, processing payroll, and preparing financial reports. This role ensures that financial practices align with Generally Accepted Accounting Principles (GAAP), internal controls, donor requirements, and applicable nonprofit regulations.

Essential Duties and Responsibilities
Accounting & Financial Reporting
  • Maintain and reconcile the general ledger, including sub-ledgers and month-end closing entries.
  • Prepare journal entries and support documentation.
  • Monitor, track, and report on restricted and unrestricted funds.
  • Process accounts payable and accounts receivable transactions.
  • Review invoices and expense reports for accuracy, coding, and proper authorization.
  • Prepare monthly financial reports and supporting schedules.
  • Maintain accurate financial records in accordance with GAAP and nonprofit accounting standards.
  • Maintain fixed asset records and depreciation schedules.
  • Support cash flow management and financial forecasting activities.
  • Assist with annual audits by preparing schedules, reports, reconciliations, and documentation.
  • Ensure compliance with applicable tax regulations, including preparation of Forms 1099 and support for Form 990 filings.
Grant and Fund Accounting
  • Track grant income and expenditures.
  • Ensure compliance with donor restrictions, grant agreements, and funding requirements.
  • Assist with grant reporting and financial documentation.
Budgeting
  • Assist in the development, implementation, and monitoring of organizational and departmental budgets.
  • Monitor actual performance against budget and identify variances.
Payroll Administration
  • Process bi-weekly and/or monthly payroll accurately and timely.
  • Review timesheets and payroll data for completeness and accuracy.
  • Maintain payroll records and reconcile payroll-related accounts.
  • Assist with payroll tax filings, year-end reporting, and payroll compliance requirements.
  • Review and reconcile 401(k) payroll deductions and coordinate submissions to Voya.
  • Respond to employee payroll inquiries in a professional and confidential manner.
Technology & Process Improvement
  • Utilize accounting software and financial systems to improve efficiency and accuracy.
  • Leverage AI-enabled tools to streamline data analysis, account reconciliations, financial reporting, and forecasting.
  • Assist with automating routine accounting tasks and identifying process improvement opportunities.
  • Use AI and data analytics tools to identify trends, anomalies, and insights that support organizational decision-making.
  • Maintain data integrity and confidentiality when utilizing emerging technologies and AI-powered financial solutions
Qualifications
Education
  • Bachelor's degree in accounting, Finance, or a related field required.
Experience
  • Minimum of 2-3 years of accounting experience required.
  • Nonprofit accounting experience preferred.
  • Experience with fund accounting and restricted fund tracking preferred.
  • Payroll processing experience preferred.
Skills & Competencies
  • Proficiency with accounting software such as QuickBooks and Microsoft Excel.
  • Strong understanding of GAAP and nonprofit accounting principles.
  • Knowledge of financial reporting and internal controls.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to handle confidential information with discretion and sound judgment.
  • Strong written and verbal communication skills.
Preferred AI & Technology Skills
  • Experience using AI-powered productivity tools such as Microsoft Copilot, ChatGPT, or similar business applications.
  • Ability to use AI tools to assist with financial analysis, account reconciliations, report preparation, forecasting, and data validation.
  • Familiarity with data visualization tools such as Power BI or Excel advanced analytics.
  • Understanding of automation tools and workflow optimization in accounting and finance environments.
  • Ability to critically review and validate AI-generated outputs while maintaining accounting compliance and accuracy.
Supervisory Responsibility

This position has no supervisory responsibilities.
