The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

Reporting to the Senior Director of Finance and Research Administration for the Department of Neurology and Sergievsky Center, the Senior Manager, Finance and Research Administration will oversee research administration processes and overall financial management services supporting Principal Investigators (PIs) in the department. The Senior Manager, Finance and Research Administration will jointly manage with the Senior Director, a team of financial and grants analysts to support these functions.

Responsibilities

Specific responsibilities include, but are not limited to:

Research Administration
  • Assists PIs in the development, review, submission and renewal of various types of sponsored project proposals from a variety of sponsors including NIH, private foundations and industry; directly manages timelines and the overall progression of work undertaken by analyst’s teams to ensure the on-time completion of high quality, responsive, and compliant proposal applications
  • For awarded proposals, liaises with Sponsored Projects Administration (SPA) office to ensure timely setup of award, pre award compliance requirements are met and all subawards are established
  • Ensures that all award reporting requirements (quarterly and/or annual progress and financial reports) are completed according to sponsor and institutional requirements and timeframes
  • Maintains complete electronic filing of award documents, including original grant proposal, financial and programmatic reporting, and records that will assist with ongoing grant proposal and reporting requirements (i.e. facilities and resources documents, other support pages)
  • Ensures departmental adherence to internal sponsored project compliance requirements (i.e. PI expense attestations, cost transfer audit documentation)
  • Manages sponsored project effort reporting and certification process; advises and assists PIs in the effort certification process as needed
Financial Management
  • Management of timely cyclical budget vs. actual reconciliation of sponsored and non-sponsored funding sources and salary allocations of faculty and staff
  • Maintains funding overviews/forecasts for faculty in assigned divisions and meets with faculty to review on a regular basis
  • Supervises above financial management processes for analysts
  • Participates in creation of financial reporting (division and faculty P&Ls) and reviews with faculty to identify opportunities for improvement
Leadership
  • Coordinate and manage personnel capacity and workloads across the finance and research administration teams in conjunction with other managers. This includes pre and post award tasks and responsibilities
  • Serve as a knowledge expert and provide guidance to team members on pre and post award tasks and responsibilities. Provide training when applicable and appropriate.
  • Manage and coordinate team members in meeting institutional and departmental deadlines for assigned responsibilities
  • In partnership with the Director, lead ad-hoc and cyclical projects, including but not limited to process improvement efforts, effort reporting, attestation, budgeting and budget updates, suspense and deficit management, etc.
  • In partnership with the Director, leads annual budgeting process and quarterly reforecasts through data entry into budget tool
  • Strategizes, develops and implements process improvement projects, including standardization of processes, management of team culture, etc.
Minimum Qualifications
  • Requires bachelor’s degree or equivalent in education and experience, plus four years of related experience
Other Requirements

This is a high-pressure position, as there are many internal and external deadlines. Requires a bright, competent and organized individual that is self-motivated, reliable, conscientious, and able to solve analytical problems, as well as plan independently. Must be able to work with all levels of staff. Position requires establishing and maintaining relationships within and across departments, as well as servicing the grant and accounting needs of Principal Investigators.

The ideal candidate will possess excellent verbal and written communication skills. Proficient or Advanced Proficiency in MS Excel. Highly skilled in MS Word. Ability to meet deadlines and maintain required confidentiality. Knowledge of government and foundation grant administration and PeopleSoft financials required.
