Job summary

FedEx Group is seeking an experienced administrative professional to support linehaul operations in Pittsburgh. You will handle contractor tractor approvals, registrations, and toll-card management while coordinating with field teams and HQ departments.

The role requires at least five years of office experience, strong Excel/Office skills, and the ability to manage complex data and reports. This is a hybrid Pittsburgh position with in-office four days per week.

Qualifications

  • High school diploma or GED required; related experience may offset education requirements.

  • Software skills include Microsoft Office and web-based applications.
  • Ability to explain complex or confidential information clearly in verbal and written form.
  • Strong time management and organizational abilities to manage multiple projects and deadlines.
  • Ability to mentor and act as a knowledge resource for other employees.
  • Knowledge of FedEx operations concepts, policies, and procedures.

Responsibilities

  • Performs all administrative functions for the FXG contractor tractor addition and approval process, including base plate registration renewals.
  • Processes and maintains titling and registration for company trailers and rentals.
  • Manages distribution and auditing of toll cards/transponders.
  • Enters and maintains approved routes in FedEx Transportation Management System (TMS).
  • Conducts Control Self Monitoring (CSM) audit tests.
  • Reconciles and processes invoices and toll citations for payment.
  • Handles ISP asset sales, assignments, changes, and financial transactions.
  • Orders and maintains permits to operate vehicles across states, including renewals.
  • Collects data and prepares daily, weekly, and monthly cost reports for management.
  • Provides telephone support and assists field personnel and ISPs with questions.
  • Coordinates with Headquarters, other OpCos, and field operations.
  • Produces reports and locator maps for FedEx website.

Job description

Performs linehaul-related administrative support to FedEx field operations, other FedEx Operational Companies (OpCo’s),Headquarters Departments, outside vendors, and government agencies.

Essential Functions
  • Performs all administrative functions for the FXG contractor tractor addition and approval process; (e.g., initial base plate registration and renewal process).
  • Processes and maintains the titling and registration of company owned trailers as well as company and contractor equipment rentals.
  • Manages the distribution and auditing of the usage of toll cards/transponders.
  • Enters and maintains approved routes in FedEx Transportation Management System (TMS).
  • Conducts Control Self Monitoring (CSM) audit tests.
  • Reconciles, validates, and processes invoices and citations for payment. (i.e., tolls and toll citations).
  • Performs all administrative functions related to Independent Service Provider (ISP) asset sales, assignments, changes, and financial transactions.
  • Orders and distributes all permits required to operate vehicles in various states which include annual renewals.
  • Collects data and prepares the reporting of purchased cost to management and accounting on a daily, weekly, and monthly basis.
  • Provides telephone support and assist with questions that arise from the field personnel and ISPs
  • Coordinates with other departments within Headquarters, other OpCo’s, and field operations.
  • Produces various reports and posts locator maps on the FedEx website.
  • Performs other duties as assigned

Minimum Education

High School Diploma or GED required.

Related experience may offset degree requirements and related education/degree may offset experience requirements.

Minimum Experience

Five (5) years' experience required in office administration, clerical, or related area.

Knowledge, Skills and Abilities

Software skills, including use of Microsoft Office software and web-based applications.

Verbal and written communication skills necessary to explain complex and/or confidential information.

Time management and organizational skills necessary to manage multiple projects, appropriately prioritize workload, plan for resources to meet deadlines and goals, and respond to day-to-day functional needs.

Ability to anticipate and identify problems and use sound judgment and fact-based analysis to develop effective and efficient solutions.

Ability to develop effective methods for proofing and quality review to ensure all aspects of work are completed correctly.

Ability to mentor, coach, and act as a knowledge resource to other employees.

Knowledge of concepts, practices, policies and procedures related to FedEx operations.

Job Conditions

Minimal travel required.

PM international business perspective on the freight and logistics industry. This includes inclination to develop expertise and to act as an advocate for the linehaul practice Aligns with the Federations vision and cross-functional teams.

Pay Transparency:
Pay: (FEC_SH25) Pittsburgh, PA Pay Range: $22.25/hour - $31.15/hour
Additional Details: Location: Pittsburgh, PA. Hybrid. Candidates must live within 50 miles of the campus. Employees will be required to work in office four days per week. PGH Linehaul Department.
