The Sr. Associate, Calendar Operations supports calendar management, milestone tracking, and cross-functional coordination throughout the product creation and creative development process. Working closely with Design, Product Development, Merchandising, and Creative teams, this role helps ensure priorities, deliverables, and deadlines are communicated clearly and executed on time.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. They maintain calendar accuracy, monitor key milestones, communicate updates across teams, and proactively identify scheduling risks and solutions.
This role also supports meeting facilitation, process improvements, and day-to-day coordination to help enable efficient execution across the organization.
A Day in the Life:
Calendar and Time Management:
- Support the creation and maintenance of seasonal product creation calendars, ensuring accuracy and adherence to brand timelines and priorities.
- Prioritize and respond to time-sensitive business needs, including executive and management-led requests, with a high degree of urgency, accuracy, and follow-through.
- Partner with cross-functional teams to align milestone schedules and secure meeting timing in advance of each season.
- Execute calendar updates and scheduling changes with precision, ensuring all stakeholders are informed and aligned.
- Anticipate scheduling conflicts, identify risks to key milestones, and proactively develop backup plans and alternative solutions to minimize disruption.
- Facilitate weekly cross-functional milestone meetings, driving accountability and timely resolution of issues impacting deliverables.
- Partner closely with the Executive Assistant function within the executive office to ensure milestone meetings are scheduled, confirmed, and executed according to established processes and leadership direction.
- Support continuous improvement initiatives that enhance calendar discipline, operational efficiency, and on-time execution across the product lifecycle.
Communication:
- Serve as a central point of communication between the Director of Calendar Operations, Merchandising, Design, and Product Development, ensuring timely sharing of priorities, risks, decisions, and key deadlines.
- Maintain regular communication with cross-functional partners and the Director of Calendar Operations to provide visibility into milestone progress, elevate issues, and ensure alignment on business priorities.
- Facilitate cross-functional meetings, capture clear and actionable meeting recaps, and communicate decisions, next steps, and ownership in a timely and accurate manner.
- Partner closely with the Director of Calendar Operations to proactively identify risks, drive resolution of open issues, and ensure teams remain aligned on evolving priorities and deliverables.
