(flexibility outside of core operating hours of 3–6 pm)
Salary: $42,000 – $46,000

Company Description: The Boys & Girls Club of the Tri-County Area
inspires and enables young people to reach their full potential as productive, responsible, and caring citizens. The Club offers diverse programs that promote character and leadership development, health and life skills, and engagement in arts, fitness, and recreation. It operates as a dedicated youth facility open every weekday, providing a safe and structured environment for members. Trained, professional staff serve as positive role models and mentors for children and teens ages 6 to 18.
Primary Functions: The Site Coordinator role is responsible for overseeing the planning, development, implementation and evaluation of specific programming for youth between the ages of 5 and 18 within a designated Club site. Program responsibility supports our priority outcome areas of Academic Success, Healthy Lifestyles, Good Character and Citizenship. The Site Coordinator also provides leadership and supervision to assigned program and volunteer staff and manages expenses as assigned.
The Site Coordinator is responsible for front desk and program staffing, program planning & implementation, administrative functions and ensuring a warm welcoming facility. In addition, the site coordinator is responsible for building and contributing to a positive workplace culture throughout the organization. Hours may alter during non-school days, snow days, and spring/summer/holiday break periods.
Key Roles (Essential Job Responsibilities): Prepare Youth for Success
- Plan and oversee the administration of designated Club programs and activities that support Youth Development Outcomes:
- Meet Club programming objectives consistent with organizational goals and mission.
- Oversee the day-to-day program activities in accordance with established standards and goals.
- Ensure that members are encouraged to participate in a variety of programs areas/activities and receive instruction and constructive feedback to develop skills in program area(s).
- Demonstrate leadership to assure conduct, safety and development of members.
- Facilitate trauma-informed & social-emotional learning techniques to de-escalate behavior and encourage a positive Club climate.
Program Development, Implementation, and Data Management
- Maintains close, daily contact with Club Staff (professional and volunteer), Club members, and supervisor and provide weekly operations reports to the DSO.
- Create program & activities schedules including special events. Communicate information to staff, volunteers, members, and families with advanced notice.
- Ensure the health and safety of members.
- Evaluate Club programs on a continual basis and ensure programs/activities respond to members needs and are meeting program requirements.
- Manage Club expenses within the approved annual budget, provide program improvements and cost savings, and meet DSO directives.
- Compile regular reports reflecting all activities, attendance, participation in programs, and maintain a master schedule weekly that may be shared with staff and families as needed.
- Support the implementation of grant funded programing in a timely manner and ensure grant requirements are met. Assist with grant reporting, including tracking of outcomes as needed.
- Execute the requirements of the 21st Century Community Learning Center grant in partnership with the local school district.
- Partner with the Membership Service Coordinator to assure that fees, permission slips, registration, and data management are maintained and accurate.
- Oversee kitchen staff on the food programs and support their needs.
- Work closely with facilities coordinator to ensure your Club site is welcoming, clean & safe at all times.
- Drive the work and offer support for a variety of unmet needs programs.
Supervision
- Allocate and monitor work assigned to program volunteers and staff, providing ongoing feedback, regular encouragement and recognition. Identify and support training and development opportunities for assigned staff.
- Comply with proper record keeping and reporting including activities and events conducted, breakdowns of daily participation figures, notable achievements and conflict management.
- Manage employee schedules, vacation requests, and support HR in payroll/timekeeping, performance management and onboarding.
- Exercise authority in problem solving relating to members, utilizing guidance and discipline plan.
- Communicate effectively with staff, leadership and parents during injuries, severe weather or other emergency situations.
- Manage behavior incidents and communicate with families as needed.
Communications
- Increase visibility of Club programs via parent emails, announcements of upcoming events and the sharing of timely information for the development of advertising and promotion through mailings, fliers and media releases.
- Communicate effectively with parents to provide information as needed.
- Responsible for continuous active recruitment of members to ensure continued growth of average daily attendance and membership metrics.
- Maintain contact as needed with external community groups, schools, members’ parents and others to assist in resolving problems. It is the responsibility of all employees to represent the organization well in the community and advocate on behalf of the organization when given the opportunity.
- Support special programs and /or events (i.e. Keystones, Youth of the Month, Youth of the Year and Awards Programs), and/or participate in the implementation of other Club activities as necessary and provide highlights to the DSO or AED.
- Provide photos and stories that highlight the impact of your programming for marketing and executive leadership to utilize in resource development or marketing.
Additional Responsibilities
- Will be required to drive the Club’s 12 passenger vans, at times.
- Exercise authority in problems relating to members; utilizing guidance and discipline plan.
- Mandatory BGC- Child & Sexual Abuse Training, commitment to serve as a Mandated Reporter.
- Mandatory BGC - CPR and First Aid Certification.
- Develop and implement Unmet Needs outreach for the Tri-County Organization. Leading and collaborating with staff and other Site Coordinators.
Skills/Knowledge Required
- A four-year degree in a related field from an accredited college/university is preferred but not required.
- Experience in an office environment.
- Proficient in Microsoft Office Platforms.
- A minimum of three years’ work experience working with youth is preferred.
- Valid Driver’s License and good driving history.
- Strong communication skills, both verbal and written.
- Exceptional organizational skills.
- Experience leading a team.
- Ability to manage multiple dynamic tasks.
- Ability to get along with diverse personalities: possessing tact, maturity, and flexibility.
- A positive disposition who significantly contributes to a positive workplace culture.

- Physical requirements include: sight, hearing, sitting, standing, stooping, ability to go up and down stairs, running, strenuous sports-related activities, and lifting a minimum of 50 pounds.
