To maintain an efficient office in order to enhance the educational program for students. Qualifications: 1. High School Diploma or GED.
2. Preferred at least 5 (five) years clerical experience or equivalent.
3. Must be proficient in operating office machines.
4. Must be proficient in verbal and written communication skills.
5. Pass the district developed Site Administrative Secretary assessment with the required proficiency rating.
6. Ability to live and work effectively in a cross-cultural, rural Alaskan environment.
7. Maintain an organized office environment.
8. Preferred/Required Yup’ik Speaker (site determination).
9. Ability to carry out duties described below. Duties: 1. Maintain strict confidentiality in all aspects of the school environment.
2. Be proficient using Excel, Word and LKSD approved Student Information System (SIS).” (For purposes of clarity as of FY’13, SIS = PowerSchool).
3. Maintain official school files and reports such as: Updating and submitting annual immunization records and reports. Utilizing SIS to enroll students, enter student/teacher schedules, record attendance. Pulling reports from SIS such as progress reports, report cards, student discipline logs and others as requested by the Site Administrator or District Office.
4. Supervise clerical staff, as assigned.
5. Schedule substitutes for staff, as assigned by the Site Administrator.
6. Assist in preparation of Advisory School Board packet and post the agendas in a timely fashion.
7. Be familiar with and understand budgets, make revisions as necessary as per supervisory direction.
8. Understand, process, manage and maintain accurate records of all fiscal activities per supervisory direction, for example: Tracking p-card expenses, receipts and completing the monthly report on-line. Completing and tracking MRF’s. Maintaining updated PCN’s. Collecting and processing Timesheets and Leave Reports Submitting Contract Extensions. Assuring all hiring paperwork is submitted including I-9’s. Creating and posting ads in the village for events, elections and job openings.
9. Keep informed of school operations and be able to respond to general inquiries and/or emergencies.
10. Manage the office without direct supervision.
11. Arrange transportation for staff and students when necessary.
12. Attend workshops/inservices to enhance and maintain necessary skills.
13. Process and maintain records of all reports pertaining to the efficient operation of the school program.
14. Maintain thorough knowledge of the district’s negotiated agreements, district policy manual, and site specific handbooks/policies.
15. Have a thorough knowledge of the site’s discipline and crisis plans and support their implementation.
16. Assist the site administrator in the public relations of the school.
17. Create and distribute the monthly school newsletter per supervisory direction.
18. Perform other duties as assigned. Position Type: Full-Time
