MasTec Industrial is seeking a Site Admin to serve as the organizational backbone for field crews, project managers, and corporate teams in a fast-paced construction setting. You will handle receptionist duties, set up and maintain reports and databases, and assist HR with onboarding while juggling multiple priorities with precision.

You should be detail-driven, proficient in Microsoft Office, and comfortable working on a busy site.

Qualifications

  • Associates Degree (A.A) or 1–3 years of administrative support experience.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook and Internet.
  • Excellent verbal and written communication; strong multitasking.

Responsibilities

Responsibilities
  • Serve as receptionist with duties to include answering phones, greeting visitors, handling incoming and outgoing mail, mail, copying, ordering, and maintaining office supplies, etc.
  • Set‑up and maintain reports and databases as requested
  • Assist corporate HR with new hire paperwork and onboarding requirements
  • Must be highly organized and able to multi‑task
  • Assist the Site Safety Coordinator as needed
  • Input, verify, and process timesheets for payroll
  • Maintain tracking, reporting, database spreadsheets needed for project
  • Reconcile management’s purchasing card statements monthly
  • Assist all employees with questions on payroll and timesheets
  • Assist with equipment questions (scanner, copy machine, etc.)
  • Maintain a filing system of all documents and drawings and who they are given to
  • All other duties as assigned
Qualifications

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

  • Associates Degree (A.A) or 1 -3 years of experience in administrative support position

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Be knowledgeable of MIC Health and Safety programs and project specific regulations.
  • When on‑site, actively participate in daily toolbox meetings with crews and subcontractors.
  • Set a personal example of safe behavior.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook and Internet
  • Strong verbal and written communication skills
  • Ability to multi‑task
  • Other may duties may be assigned
PHYSICAL DEMANDS
  • Work up to a 12-hour shift doing hard physical work in varying temperatures and outside conditions.
  • May need to maintain physical strength and stamina; Use arms, hands, and legs fully; Push, pull, and frequently lift and carry objects weighing up to 50 pounds; and stoop, kneel, balance, crouch, crawl, and climb to perform job tasks.
  • Stamina to perform this task repetitively and continuously for several hour intervals.
  • Uncontrolled environmental conditions: Constant change in weather and site conditions.
  • This work environment may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors and/or loud noises.
  • Ability to wear personal protective equipment is required (including but not limited to- safety toed shoes, gloves, safety glasses, hearing protection, hardhat, vest, etc.).
  • Move in and around confined, cluttered, and uneven areas.
  • May need to work at heights and must be able to abide by all safety and fall‑protection requirements; must be able to wear and utilize all safety equipment required for work at heights.
  • Evaluate information based on measurable standards; and see details in objects or drawings and recognize slight differences in shapes and shadings.
  • Visualize objects in three dimensions from drawings.
  • Keep good balance and work at heights.
  • See well (either naturally or with correction).

HOURS

This position is a Full‑Time position scheduled to work typically 50 hours per week. Schedule is subject to projects requirements.
