Job description

Position Summary:

The Shipping & Receiving Coordinator is responsible for the safe, accurate, and timely execution of all warehouse operations, including picking, receiving, shipping processing, ERP transactions, documentation, and forklift operation. This role ensures compliance with safety, food quality, inventory control, and regulatory requirements while supporting efficient material flow throughout the facility.

Job Responsibilities (ensure accuracy and quality in all tasks):

• Safety & Equipment Operation
  • Operate stand-up and sit-down forklifts safely and in accordance with company policy.
  • Maintain a safe work environment by using appropriate PPE and adhering to food safety protocols.
  • Support proper handling and storage of materials to prevent damage to products, equipment, or facility infrastructure.
  • Complete daily forklift inspections prior to operation.
  • Maintain proper load positioning and safe travel speeds; drive backward when carrying obstructed loads.
  • Perform daily battery charging and monthly battery watering procedures.
  • Ensure trailer wheels are properly chocked before loading or unloading.
  • Prevent damage to product, racking, trailers, equipment, and facility infrastructure.
  • Wear required PPE and comply with all food safety and hazard protocols.
• Shipping & Receiving
  • Prepare and ship orders accurately, ensuring proper labeling, documentation, and regulatory compliance.
  • Receive inbound materials, verifying quantity, condition, and quality standards.
  • Coordinate with ERP systems (Sage X3/Batch Metrics preferred) to record shipments, receipts, and inventory movements.
  • Use handheld barcode scanner to accurately record shipments, receipts, and inventory movements within the ERP system.
  • Pick orders materials accurately from stock and prepare for shipment (wrap, label, and document)
  • Verify container labels for accuracy (PO, lot, item number, description).
  • Label pallets appropriately (pallet count, COA, packing list, customer-specific labels, etc.).
  • Prepare company regulatory documents for daily shipments
  • Forward the prepared shipping documents to the appropriate person at the receiving company
  • Stage orders correctly for shipment.
  • Inspect trailers according to food quality requirements (allergens, hygiene, etc.) prior to loading.
  • Obtain driver sign-off verifying shipment accuracy.
  • Load trucks with outgoing shipments
  • Process daily order shipments into Brookside ERP system (SAGE)
• Receiving
  • Inspect inbound trailers according to food quality requirements prior to unloading.
  • Unload trucks with incoming material deliveries
  • Verify accuracy and condition of materials against BOL and delivery paperwork.
  • Sample materials for QA analysis
  • Receive incoming materials into Brookside ERP system (SAGE)
  • Label materials with identification labels
  • Put away materials into stock locations
• Inventory
  • Support inventory accuracy through cycle counts, audits, and reporting discrepancies.
  • Collaborate with Inventory Control and Operations teams to maintain organized and accurate stock locations.
  • Partner with Inventory Control to support inventory location and quantity accuracy by picking materials listed on pick tickets, reporting discrepancies, and assisting with cycle counts and inventory audits as required.
• Customer Service
  • Partner with Customer Service, Planning, Operations, and Inventory Control to ensure high customer satisfaction
• Other duties
  • Perform additional tasks as required and/or assigned by Supervisor

Qualifications:

• High school diploma or (GED) required
• 1-3 years of experience in a warehouse shipping and receiving environment, preferred
• Experience using carrier manifest systems (FedEx, UPS, etc.)
• ERP system experience required; Sage X3/Batch Metrics strongly preferred
• Ability to drive stand-up and sit-down forklift highly desired
• Preferred experience with Microsoft suits: Outlook, Word, Teams
• Strong analytical, decision-making, and organizational skills
• Attention to detail and accuracy
• Ability to recognize and understand hazard warnings
• Strong verbal and written command of English to complete job functions

Physical Demands:

• Regularly required to sit, stand, and walk
• Routinely uses standard warehouse equipment such as forklifts, hand trucks, box cutters, tape dispensers
• Visual acuity to operate forklift and GHS/DOT labels
• Ability to lift 50+ pounds multiple times during a workday
• Availability to work overtime as required and occasional weekends
• Ability to work with allergens (dairy & food colorings)

Work Environment

• Work performed in a warehouse setting, with some outdoor exposure during the workday.
• Regularly exposed to odors, fumes, noise and allergens (dairy & food colorings)
• Ability to work in an environment that is both hot and cold and not temperature regulated
