Position Title: Shipping & Receiving Clerk - Materials Job Code: MED-JV Materials Shipping & Receiving Clerk Reports To: Shipping Supervisor Department: Materials Management / Warehouse Operations Location: Jacksonville Manufacturing Facility

Position Summary

The Shipping & Receiving Clerk is responsible for accurate receipt, processing, storage, transfer, and shipment of materials, components, and finished goods. This position ensures inventory transactions, shipping documentation, and material handling activities are completed in accordance with company procedures, customer requirements, quality standards, and safety regulations.

The Shipping & Receiving Clerk works closely with Production, Quality, Purchasing, Customer Service, and Warehouse personnel to support uninterrupted manufacturing operations and on-time customer deliveries.

Essential Responsibilities
Shipping Operations
  • Prepare and process customer shipments in accordance with established shipping procedures.
  • Verify product quantities, lot numbers, labels, and shipping documentation prior to shipment.
  • Package products in accordance with customer, regulatory, and company requirements.
  • Generate shipping paperwork, bills of lading, packing lists, labels, and carrier documentation.
  • Coordinate carrier pickups and shipment scheduling.
  • Ensure shipments are processed accurately and on time.
Receiving Operations
  • Receive incoming materials, supplies, and components.
  • Verify incoming shipments against purchase orders, packing slips, and receiving documentation.
  • Record inventory transactions accurately within inventory management systems.
  • Route materials to designated warehouse, inspection, or production areas.
  • Report damaged shipments, shortages, and discrepancies to management
Inventory Control
  • Maintain accurate movement and tracking of inventory throughout the facility.
  • Perform inventory transactions including receipts, transfers, adjustments, and shipments.
  • Assist with cycle counts and physical inventories.
  • Investigate and resolve inventory discrepancies.
  • Maintain product traceability and inventory accuracy.
Interplant Transfers
  • Process and coordinate transfers between company facilities.
  • Ensure transfer documentation is complete and accurate.
  • Verify products are properly identified, packaged, and tracked during transfers.
  • Maintain records supporting interplant inventory movement.
Material Handling
  • Safely move raw materials, packaging, work-in-process, and finished goods throughout the facility.
  • Operate forklifts, pallet jacks, powered industrial trucks, and material handling equipment.
  • Ensure materials are properly stored, protected, and identified.
  • Maintain warehouse organization and housekeeping standards.
  • Support loading and unloading activities at shipping and receiving docks.
Documentation and Compliance
  • Maintain shipping and receiving records in accordance with company procedures.
  • Ensure material safety data and hazardous material documentation are available when required.
  • Verify shipping records are complete and accurate.
  • Support audit readiness through proper record retention and documentation practices.
  • Maintain compliance with inventory traceability requirements.
Quality Support
  • Ensure materials and products are properly identified and segregated.
  • Coordinate movement of materials requiring inspection or quality review.
  • Support control of returned materials and special handling requirements.
  • Verify proper packaging materials and shipping configurations are utilized.
Safety and Equipment Operation
  • Operate warehouse equipment safely and in accordance with certification requirements.
  • Perform routine inspections of forklifts and material handling equipment.
  • Adhere to dock safety, battery charging, and warehouse safety procedures.
  • Follow safe handling procedures for chemicals, adhesives, compressed gases, and regulated materials.
  • Report safety hazards and equipment concerns promptly.
  • Maintain Forklift Certifications and Dock Safety Certification
Teamwork and Collaboration Responsibilities
  • Support Shipping Supervisors and Receiving Leads in achieving operational objectives.
  • Coordinate closely with Quality Assurance, Production, Planning, and Purchasing personnel.
  • Communicate shipment issues, inventory concerns, and receiving discrepancies promptly.
  • Assist in training new employees on shipping and receiving procedures.
  • Promote teamwork, accountability, and customer-focused service.
Required Qualifications
  • High School Diploma or GED required.
  • Minimum 1-3 years of shipping, receiving, warehouse, logistics, or inventory experience.
  • Experience operating forklifts or powered industrial trucks preferred.
  • Basic computer and data entry skills.
  • Ability to acquire PIT certifications
Preferred Qualifications
  • Experience in a manufacturing or regulated industry environment.
  • Experience with ERP, inventory management, or warehouse management systems.
  • Knowledge of shipping carrier systems and logistics processes.
