Job summary

Stonemark Management LLC is seeking a Service Supervisor to preserve and maintain the community facilities and grounds, ensuring safety and aesthetics for residents and prospective residents. You will set daily maintenance schedules, supervise staff and contractors, coordinate preventive maintenance, and assist the Community Manager in daily duties including move-in/move-out procedures and record‑keeping.

This role requires EPA Universal credentials and HVAC certification, the ability to lift up

Qualifications

  • EPA Universal Level certification is required.
  • HVAC certification is required.
  • Experience in apartment communities or maintenance services preferred.
  • Must be able to lift up to 100 pounds.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Provide maintenance services to residents promptly.
  • Establish daily maintenance work schedules for staff.
  • Inspect the community regularly and report status to management.
  • Coordinate emergency maintenance on-call and communicate solutions.
  • Supervise maintenance staff and outside contractors.
  • Assist Community Manager with duties and move-in/move-out procedures.
  • Maintain preventive maintenance records and inventory of parts/tools.
  • Ensure workshop is clean, safe, and organized.
  • Manage expenditures within approved budgets and oversee vendor contracts.

Description

Basic Function:

To preserve and maintain the physical facilities and grounds within the community so they are safe and aesthetically appealing to residents and prospective residents. Assists in all aspects of the community's maintenance, including grounds, custodial, preventive, corrective, deferred and emergency maintenance. Assists Community Manager in performing his or her duties.

Principle Responsibilities:

The activities listed below are not all inclusive; however, they are indicative of the type of activities normally performed by the Service Supervisor. Other duties may be assigned.

Essential Functions:
  1. Provides service to residents in a prompt and professional manner.
  2. Establishes daily work schedules for maintenance staff.
  3. Follows-up on work assignments for efficient, thorough completion.
  4. Establishes emergency maintenance on-call schedule, posts and distributes emergency telephone numbers.
  5. Makes regular inspections of the community.
  6. Notifies management of maintenance problems and recommended solutions.
  7. Assists in the preparation of all maintenance-related records.
  8. Meets with Community Manager daily to report on status of all scheduled work.
  9. Assists with move-in and move-out procedures.
  10. Maintains updated preventive maintenance information (e.g., location of extra parts for appliances, equipment serial numbers, and service telephone numbers).
  11. Keeps workshop or utility room clean, orderly and safe.
  12. Utilizes a preventive maintenance program to minimize cost of maintenance and down time of equipment and maintains an adequate inventory of all parts, tools and equipment.
  13. Obtains competitive pricing on purchases, maintains control through purchase orders, and oversees contract labor.
  14. Responsible for interior painting of buildings and amenities.
Approves:
  1. Expenditures within the guidelines of the approved budget.
  2. Routine service and repair to apartments or common areas.
Develops, Reviews, and/or Submits to Community Manager for Review and Approval:
  1. Expenditures in excess of the approved budget.
  2. Renovation dealing with structural changes to the community.
  3. Special projects.
  4. Expenditures for normal service and repairs in excess of the approved budget.

Requirements

Education, Training, and Experience:

Fifth year college or university program certificate; or four years in a service position at an apartment community and/or training; or equivalent combination of education and experience. EPA certification - Universal Level; HVAC certification required.

Abilities and Aptitudes:

Must occasionally lift and/or move up to 100 pounds. Specific vision abilities required by this job include Close vision and ability to adjust focus. While performing the duties of this job, the employee is frequently required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl and talk or hear. Must be results orientated and self-starter. Organization skills and attention to detail are essential. Must be mechanically inclined.

Supervisory Responsibilities:

Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Specific Skills:

Knowledge of bookkeeping, business math, accounting, management and marketing. Must be computer literate and be able to use office equipment, including typewriter and calculator. Knowledge of plumbing, heating, air conditioning, construction and electrical. Must be able to use all types of hand and power tools, freon recovery machinery, air conditioning gauges and vacuum pumps.

Length of Training Curve:

Three to six months.

Output:

Position is evaluated by ability to:

  1. Complete service orders in a timely fashion.
  2. Control maintenance costs.
  3. Supervise outside contractors and other maintenance personnel.
  4. Maintain positive relations with community residents and other Associates.
Supervision:

Position is supervised by the Community Manager who assesses and evaluates performance.
