Qualifications

Responsibilities

  • Build and maintain strong, professional relationships with customers.
  • Open and close work orders in a timely manner to minimize aged work-in-process.
  • Complete service data, invoices, reports, and required documentation.
  • Perform basic diagnostics and help determine necessary repairs.
  • Advise customers regarding required repairs and replacement parts.
  • Assist with repairing or replacing damaged or worn components as needed.
  • Test repaired or assembled equipment to verify proper performance and compliance.
  • Prepare warranty claims and supporting documentation.
  • Maintain accurate service and quality control records.
  • Complete job status reports and maintain work order logs.
  • Address customer invoicing questions and billing issues.
  • Maintain the department's billing cycle and work-in-process efficiency.
  • Use the Standard Pricing Guide (SPG) and Marketing Service Times (MSTs) when quoting and pricing jobs.
  • Maintain current knowledge of company and competitor products.
  • Read and understand operating manuals, blueprints, and technical drawings.

Service Manager
Position Summary

The Service Manager is responsible for overseeing the day-to-day operations of the service department while maintaining strong customer relationships and ensuring efficient, profitable, and high-quality service. This position manages work orders, invoicing, warranty claims, technician performance, training, safety, scheduling, and work-in-process.

The Service Manager also assists with technical issues, coordinates with manufacturers and engineering teams, and works closely with employees and customers to ensure service needs are addressed effectively.

Key Responsibilities
Service Operations & Customer Support
  • Build and maintain strong, professional relationships with customers.

  • Open and close work orders in a timely manner to minimize aged work-in-process.

  • Complete service data, invoices, reports, and required documentation.

  • Perform basic diagnostics and help determine necessary repairs.

Department Management
  • Plan department schedules based on workload and available labor.

  • Determine staffing and labor requirements to meet service demands.

  • Monitor service department productivity, expenses, gross margins, and billing efficiency.

  • Review and report work-in-process.

  • Conduct annual performance reviews for service technicians.

  • Maintain department communication to support service operations and grow service labor sales.

  • Ensure the service department maintains a clean, organized, safe, and professional work environment.

  • Maintain the condition and availability of service vehicles, tools, equipment, and inventory.

Technical Support
  • Assist with diagnosing complex technical and machine issues.

  • Work with manufacturer territory representatives regarding difficult equipment issues.

  • Assist factory personnel and engineers with technical troubleshooting and diagnosis.

  • Maintain strong working knowledge of methods, materials, tools, and techniques used to repair heavy construction equipment.

  • Utilize manufacturer communication tools and available technical resources.

Training & Safety
  • Work with employees to identify and complete technician certification and training requirements.

  • Help coordinate ongoing employee development and technical training.

  • Conduct monthly safety meetings.

  • Ensure employees follow applicable safety procedures and department standards.

Administrative & Inventory Responsibilities
  • Utilize computer programs, manufacturer communication tools, and service-management resources.

  • Maintain personal and department tool inventories.

  • Complete required reports, forms, and documentation accurately and on time.

  • Maintain organized department records.

  • Assist with inventory and equipment control.

  • Read and understand financial operating statements.

  • Deliver parts, run errands, and assist with other service department needs as required.

Additional Responsibilities
  • Assist with other duties assigned by management.

  • Support company objectives and service department goals.

  • Perform additional responsibilities as directed by corporate management.

Qualifications
Required
  • High school diploma or GED.

  • Experience managing or supervising a heavy equipment service department.

  • Experience with construction equipment diagnostics and repair.

  • Experience with work orders, warranty claims, service invoicing, and flat-rate labor.

  • Experience using manufacturer service and communication systems.

  • Experience with technician training, scheduling, and performance management.

Physical Requirements & Work Schedule
  • Ability to occasionally lift up to 50 pounds.

  • Ability to stand for extended periods.

  • Ability to work with hands and arms in confined or limited spaces while using tools.

  • Ability to use vibrating tools for extended periods.

  • Ability to work a flexible schedule, including occasional evenings and weekends.
