Job summary

Kirby-Smith Machinery, Inc. is seeking a Service Clerk to provide essential clerical support for the Service Department and help keep workflows running smoothly.

You will enter data for open work orders, process time sheets, maintain files, answer calls, and assist with on-site coverage, with opportunities for growth in a family-owned company.

Qualifications

• High School Diploma or Equivalent is required.
• One year of office experience is required; experience in heavy equipment or trucking preferred.
• Exceptional interpersonal and communication skills are essential.
• Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook) and various web-based apps.

Responsibilities

• Provides clerical support to the Service Department.
• Sets up and maintains service files and payroll docs.
• Processes technician time sheets and forwards for processing.
• Inputs data into open work orders (fuel, lube, sublet, labor, mileage).
• Answers Service calls in a timely, professional manner.
• Collects and relays information, takes messages, and transfers calls.
• Assists with branch telephone coverage per schedule.
• Maintains consistent on-site attendance and performs other duties as assigned.

Service Clerk Position Purpose

Responsible for providing clerical support to the Service Department.

Service Clerk Essential Functions

• Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
• Sets up and maintains Service files, including but not limited to machine files and payroll documentation
• Processes technician time sheets and forwards to clerical staff for processing per guidelines
• Inputs data into open work orders such as fuel and lube, sublet, labor, and mileage
• Answers Service department telephone calls in a timely, professional manner
• Collects and relays information correctly, takes messages, and transfers calls appropriately
• Assists in telephone coverage for the branch per schedule
• Consistent and reliable on-site attendance
• Performs other job-related duties as assigned

Service Clerk Minimum Qualifications

• High School Diploma or Equivalent
• One-year office experience required; experience in heavy equipment or trucking industry preferred
• Exceptional Interpersonal skills and excellent communication skills
• Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications
• Proficient 10-key skills
• Valid driver’s license

Safety Coordinator Physical Requirements

• Must be ableto sitfor long periods
• Pushing/Pulling/Lifting/Carrying up to 25pounds without assistance
• Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead
• Must be able to tolerate exposure to typical noises, hazardous materials, and fumes/odors associated with the shop
• Must be able to safely work around pressurized, mechanical, and electrical equipment
