We are seeking a detail-oriented and highly organized Tax Associate to join their finance team. This individual will play a critical support role across a broad range of tax compliance and accounting functions, working closely with senior leadership and external advisors. The ideal candidate brings hands‑on experience in tax return preparation, multi‑entity accounting, and financial recordkeeping within a family office, investment firm, or professional services environment. This is an excellent opportunity for a motivated professional to contribute meaningfully within a lean, high‑performing team.

Key Responsibilities
  • Coordinate and support the preparation of annual and quarterly income tax filings (1099's, K-1's, W-2's) across multiple entities, including managing e‑filing workflows, tracking submission statuses, processing extensions, and resolving system rejections in a timely manner
  • Input and maintain financial data — including investment income documents, pass-through schedule allocations, and compensation records — into tax preparation and general ledger platforms, ensuring accuracy across all entity types and reporting periods
  • Returns: Corporate, Individual, Partnerships, Trusts, and Gift
  • Perform account reconciliations between investment custodian reports and internal ledgers; prepare and post adjusting journal entries as needed, and coordinate with the Reporting Manager to align any required adjustments across platforms
  • Support multi‑entity payroll and compliance obligations, including preparation of wage statements, payroll tax filings, household employee tax forms, and coordination of required state and local filings on a recurring basis
  • Assist in the administration and tracking of new and dissolved legal entities, including obtaining tax identification numbers, preparing dissolution documentation, maintaining loan schedules, and preparing related financial summaries as directed
  • Manage tax notice responses and monitor outstanding refunds by maintaining comprehensive tracking records and following up with relevant parties to resolve open items; coordinate information requests with family members and administrative staff as needed
  • Maintain and continuously improve internal recordkeeping systems and workbooks, including organizing historical data by entity and individual, performing annual rollover procedures, and ensuring clean, audit‑ready files prior to external review by the firm’s advisors
Qualifications
  • MUST - 4+ years of experience in tax (1040, 1041, 1065 returns) compliance, accounting, or a related financial role, preferably within a family office, private investment firm, wealth management organization, or public accounting firm serving high‑net‑worth clients
  • Demonstrated proficiency with professional tax preparation and general ledger software; experience with multi‑entity structures including partnerships, LLCs, and individual returns is strongly preferred
  • Strong analytical and organizational skills with a high degree of accuracy and attention to detail; ability to manage multiple concurrent deadlines across a complex, multi‑entity environment with minimal supervision
  • Excellent proficiency in Microsoft Excel and Fasttax or E‑filing; comfort working with large data sets, reconciliations, and maintaining structured tracking workbooks for compliance and reporting purpose
  • Bachelor’s degree in Accounting, Finance, or a related discipline required; CPA designation or progress toward CPA licensure is a plus. Must demonstrate a high standard of professionalism, confidentiality, and discretion given the sensitive nature of the work.
