Job summary

Civana Wellness Resort & Spa in Carefree, AZ seeks a Senior Staff Accountant to manage the AP cycle, payroll, and vendor/payroll processes. You will ensure accurate coding, timely payments, and compliance within a small, high-touch finance team.

2+ years accounting exposure, preferably in hospitality, with strong Excel skills and system aptitude. This role offers a full-time, on-site position with great wellness perks and benefits.

Qualifications

• 2+ years of accounts payable, payroll, or related accounting experience.
• Familiarity with hospitality, resort, or restaurant operations is a plus.
• Fluency with payroll processing and PO-based purchasing controls.

Responsibilities

• Run day-to-day AP cycle using Reeco; code and match invoices so purchases are booked correctly.
• Process payroll end-to-end; manage timekeeping, hires, changes, terminations, gratuities and garnishments.
• Prepare weekly payment run in Corpay and ACH; coordinate with Director of Finance before CFO review.

This isn't invoice-stamping at a faceless company. You'll be the person every vendor and every team member counts on, with modern tools, real ownership, and a seat on a small, capable finance team where your work is seen and valued.

THE ROLE

Reporting to the Director of Finance, the Sr Staff Accounting owns various tasks throughout the office with primary focus on two things everyone cares about: paying our vendors and paying our people. You'll run the day-to-day AP cycle through our modern procure-to-pay stack (Reeco for purchasing and invoices, Corpay for payments, M3 for accounting) and process payroll for the resort's team members. If you love a clean match, a balanced reconciliation, and a payday that lands without a hiccup, you'll feel right at home.

WHAT YOU'LL OWN

• Run the AP engine. Manage the daily invoice queue in Reeco. Capture, match, and code invoices so every purchase is authorized and booked right the first time.


• Protect the process. Champion our "No PO, no pay" rule, verify GL coding at the point of purchase, short-pay for shorted or damaged goods, and track vendor credits until they land.


• Prepare the payment run. Build the weekly payment run in Corpay and ACH, from aging and cash requirements to payment selection with the Director of Finance, staged for CFO review before release.


• Guard the gate. Support vendor and contractor onboarding: W-9s on file, bank details verified by callback, and no payee paid before setup. You'll be a front-line defense against payment fraud.


• Process payroll. Own the payroll cycle end to end. Review and validate timekeeping with department managers, process new hires, pay changes, and terminations, and handle gratuities, service charges, deductions, and garnishments accurately and confidentially.


• Be the answer. Resolve vendor and team member questions about invoices, payments, and paychecks with speed and warmth, and elevate through the right channels when needed.


• Close the month. Reconcile vendor statements, prepare AP and payroll accruals and journal entries, tie the AP aging to the general ledger in M3, reconcile the company credit card statement, and support year-end 1099 and W-2 reporting.

WHAT YOU BRING

• 2+ years of accounts payable, payroll, or related accounting experience. Hospitality, resort, or restaurant experience is a big plus.


• Working knowledge of payroll processing (timekeeping, deductions, garnishments, gratuities) and PO-based purchasing controls, or the drive to master both quickly.


• Comfort with systems. Experience with Reeco, Corpay, M3, or ADP is great. Fluency in Excel and a knack for learning new platforms is essential.


• Sharp attention to detail and healthy skepticism. You notice the coding that's off, and you'd never change bank details without verifying first.


• Discretion and trustworthiness with confidential pay information.


• A team-player mindset. You communicate clearly with vendors, managers, and team members, and you pitch in across the finance team when it counts.
