Job description

Position Overview

The Senior Project Manager is a key role responsible for coordinating all activities within the Building Inspections Department, including project documentation management, permitting and plan review, and communication with clients, field inspectors, engineers, and municipalities.

Responsibilities
  • Develop and implement standardized processes for processing permits and plan reviews
  • Maintain seamless communication with clients, owners, contractors, and stakeholders regarding the opening and closing of projects
  • Attend preconstruction and on‑site meetings with clients and municipalities to ensure compliance
  • Obtain documents from clients to facilitate the permit application process
  • Obtain all required approvals for permits and act as the primary liaison between the company, client, and each municipality
  • Prepare and submit applications to various agencies/boards having jurisdiction over required permits and/or approvals
  • Review plans issued from the department for correct revision dates and review start packs for accuracy
  • Collaborate with external consultants to coordinate paperwork and applications; submit, distribute, and file paperwork and enter data for various permits, such as building, standard plans, plan changes, and closeout documents
  • Maintain all company files relating to permit applications, approvals, licenses, and closeout documents
  • Foster a strong working relationship with municipalities to ensure timely permit processing
  • Coordinate project activities and billing with the project coordinator
  • Perform other duties as assigned
  • Follow safety procedures
Qualifications
  • Bachelor’s degree in Engineering, Construction Management, Environmental Science, Business, or a related field; advanced degree or PMP certification preferred.
  • 7+ years of progressive project management experience, preferably within engineering, environmental, or construction industries.
  • Demonstrated ability to manage large, complex, and high‑impact projects in a fast‑paced, multi‑stakeholder environment.
  • Proficient in project management tools such as Microsoft Project, Smartsheet, or similar, and Microsoft Office Suite.
  • In‑depth knowledge of project planning, budgeting, scheduling, risk assessment, and regulatory compliance.
  • Excellent communication, leadership, and interpersonal skills, with the ability to manage diverse teams and influence stakeholders at all levels.
  • Experience managing project financials, contracts, and vendor relationships.
  • Ability to travel to job sites and regional offices as needed.
  • Self‑directed, highly organized, and capable of managing competing priorities in a matrixed or decentralized organization.
Preferred Qualifications
  • State of Florida Licensed Professional Engineer (P.E.) OR
  • State of Florida Registered Architect (AIA) OR
  • State of Florida Licensed Building Official
Travel Requirements
  • This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for off‑site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
  • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
  • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in‑person interactions.
  • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
  • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
