Job summary

Toptech Systems, part of IDEX Corporation, is seeking an experienced Senior Project Manager to lead strategic software implementation and product development initiatives for customers across the global fuel supply chain.

This role manages complex projects from initiation to delivery, mentors PMO staff, drives risk management and process improvements, and collaborates with sales, product management, and cross-functional teams to ensure successful outcomes.

Qualifications

• Bachelor's degree or equivalent in a technical discipline.
• 7+ years of project management experience for complex software development projects.
• Strong communication and stakeholder management skills.
• Experience with Jira, Confluence, MS Project, Dynamics 365 or similar tools.
• Proven ability to lead cross-functional teams and deliver on schedule and budget.
• Willingness to travel ~5%.

Responsibilities

• Lead complex software development, implementation, and customer delivery projects from initiation through completion.
• Develop and maintain project plans, schedules, budgets, and risk registers.
• Onboard and manage 3rd party contractors when needed.
• Serve as primary customer contact, build trusted relationships, ensure alignment and satisfaction.
• Collaborate with Sales and Account Management to support successful project delivery and revenue growth.
• Lead kickoffs, status reviews, and executive discussions to drive momentum.
• Coordinate with Product Management, Software Development, Customer Service, and production teams to achieve objectives.
• Establish work plans, resource coordination, and staffing for project success.
• Identify and mitigate risks, issues, dependencies, and scope changes.
• Escalate effectively when timelines or objectives are at risk.
• Manage project scope, cost, and changes with customers and Sales.
• Monitor performance and financial health to ensure on-time, on-budget delivery.
• Develop dashboards and KPIs to provide visibility on project health.
• Mentor junior PMs and promote PMO standards.
• Lead continuous improvement for delivery, communication, and outcomes.

Position Summary

Toptech Systems is seeking an experienced Senior Project Manager to lead strategic software implementation and product development initiatives for customers across the global fuel supply chain industry. This role is responsible for managing complex projects from initiation through delivery, ensuring alignment between customer objectives, technical teams, and business goals.

The Senior Project Manager serves as a trusted partner to customers and internal stakeholders, driving execution, mitigating risk, managing scope and commercial considerations, and ensuring successful outcomes. This position plays a key role within the PMO by mentoring team members, improving project delivery processes, and helping shape project management best practices across the organization.

Essential Responsibilities:

• Lead complex software development, implementation, and customer delivery projects from initiation through successful completion, ensuring alignment with customer objectives and business goals.
• Develop and maintain comprehensive project plans, schedules, budgets, resource allocations, risk registers, and communication plans throughout the project lifecycle.
• Select, onboard, and oversee 3rd party contractors as needed to ensure optimal resource utilization, accountability and successful project outcomes.
• Serve as the primary point of contact for customers on assigned projects, building trusted relationships, and ensuring clear communication, alignment, and project satisfaction.
• Partner with Sales and Account Management teams during pre-sales and project planning activities to support successful project delivery, establish realistic expectations, and contribute to Services revenue growth.
• Lead project kickoffs, status reviews, stakeholder meetings, workshops, and executive-level discussions to drive alignment, decision-making, and project momentum.
• Collaborate closely with Product Management, Software Development, Customer Service, Production, and other cross-functional teams to ensure effective execution and delivery of project objectives.
• Establish work plans, coordinate resources, and manage project staffing requirements to ensure project teams are positioned for success.
• Identify, monitor, and proactively manage project risks, issues, dependencies, and scope changes, implementing mitigation strategies and escalation plans as necessary.
• Facilitate appropriate escalation within Toptech and customer organizations when project timelines, deliverables, or business objectives are at risk.
• Manage project scope, schedule, and commercial considerations, partnering with Sales and customers to evaluate and document changes that impact project cost, timeline, or resources.
• Monitor project performance and financial health, ensuring projects are delivered on schedule, within budget, and consistent with contractual commitments.
• Develop and maintain project reporting, dashboards, and key performance indicators using leading and lagging metrics to provide visibility into project health and support informed decision-making.
• Provide leadership and guidance in resolving complex business and technical challenges by facilitating collaboration across project stakeholders and subject matter experts.
• Ensure project activities comply with applicable customer requirements, contractual obligations, and relevant regulatory or governmental requirements.
• Mentor Project Managers and junior team members by sharing best practices, developing project management capabilities, and supporting adoption of PMO standards and methodologies.
• Lead continuous improvement initiatives that enhance project delivery, communication, efficiency, and customer outcomes, resulting in measurable business value.
• Champion Agile, hybrid, and traditional project management best practices while helping evolve project governance, processes, tools, and reporting capabilities across the PMO.

Required Qualifications

To perform the job successfully, an individual should have the following:

• Bachelor's degree in a technical discipline or equivalent combination of education and relevant experience.
• 7+ years of project management experience supporting complex software development projects.
• Advanced computer skills including Word, Excel, and PowerPoint.
• Experience using project management and collaboration tools such as Jira, Confluence, Microsoft Project, Dynamics 365, or similar platforms.
• Experience managing cross-functional teams, influencing stakeholders, and driving results without direct supervisory authority.
• Strong, proactive customer-facing communication and stakeholder management skills.
• Demonstrated success delivering projects on schedule and within budget.
• Demonstrated success improving project delivery processes.
• Demonstrated ability to manage competing priorities and deliver results in a dynamic, fast-paced environment.
• Exercises sound judgment and operates independently while collaborating effectively with multiple personalities.
• 5% estimated travel.

Preferred Qualifications

• PMP Certification.
• Experience managing software development projects that use agile development methodologies.
• Experience leading global or multi-site projects.
• Background in the Oil & Gas industry.
