Job summary

HDR, Inc. in Seattle is seeking a Senior Project Coordinator to manage project documents, contracts, and invoicing within the Transportation group. You will support multiple Project Managers, maintain thorough record keeping, and help ensure QA guidelines are followed.

Proficiency in MS Word/Excel and experience with SharePoint or Contract Manager are required, along with an associate degree and 3+ years of related work. HDR offers an employee-owned culture and collaborative environment.

  • Associate degree or equivalent with 3+ years of relevant experience.
  • Proficiency in Microsoft Word and Excel.

Responsibilities

  • Coordinate document management, including proofing, organizing and filing.
  • Assist with contracts, sub-contracts, and project invoices as needed.
  • Support project reviews, create guides, and maintain project documentation.
  • Coordinate meetings and presentations; liaise with multiple Project Managers.
  • Ensure quality assurance procedures are followed for project documents.
  • Track document flow via SharePoint and Contract Manager.

In the role of Senior Project Coordinator, we'll count on you to:

  • Compose, type, format, proofread, edit and organize documents, reports, specifications and correspondence
  • Create and maintain paper and electronic files
  • Order insurance and monitor insurance certificates
  • Assist with developing project guides, and provide information and support for project reviews
  • Apply company quality assurance guidelines and procedures for project document management
  • Prepare, organize and assist with contracts and sub-contracts
  • Coordinate meetings and assist with presentations
  • Exhibit professionalism with clients
  • Work closely with multiple Project Managers and project teams
  • Assist with or prepare project invoices as needed
  • Provide document control support in accordance with document control procedures including copying and filing documents, receipt and distribution of incoming and outgoing documents, entering documents into the MIS (SharePoint, Contract Manager or other document control systems), and related duties
  • Tracking the flow of documents via SharePoint and Contract Manager
  • Perform other duties as needed
Preferred Qualifications
  • Associate degree, Bachelor's degree
  • Experience in transportation and highway projects
Required Qualifications
  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 3 years related experience
  • Proficiency in Microsoft Word and Excel
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

The expected compensation range for this position depends upon skills, experience, education and geographical location. (Stated benefits are for full-time regular positions.
