This Opportunity

WSP is initiating a search for a Senior Project Coordinator – CenterPoint Energy Portfolio based in the Houston, Texas area to join our Power & Energy team.

This role will provide project coordination and delivery support across a portfolio of approximately four to six concurrent project teams. The successful candidate will work closely with project managers, project controls personnel, technical leads, commercial teams, and client stakeholders to maintain organized, accurate, and timely project information.

The Senior Project Coordinator will independently coordinate project meetings, action items, deliverables, documentation, reporting cycles, and administrative workflows across multiple projects. This person must be comfortable working in a fast-paced, client-facing environment, anticipating team needs, following assignments through completion, and escalating schedule, documentation, commercial, or compliance concerns when appropriate.

This position requires regular in-person support in the Houston area, including attendance at project meetings, workshops, client offices, and other project locations as business needs require. The role is not intended to be performed exclusively remotely.

Project and portfolio coordination
  • Provide consistent coordination support across four to six concurrent project teams, adjusting priorities as project needs and deadlines change.
  • Maintain project coordination plans, deliverable registers, action-item logs, decision logs, risk and issue logs, change or trend logs, and other project control records as assigned.
  • Track commitments, upcoming milestones, required inputs, and due dates; proactively follow up with responsible team members and elevate potential delays.
  • Help project managers maintain consistent project governance, reporting, documentation, and communication practices across the portfolio.
  • Coordinate activities among project managers, project controls, technical disciplines, commercial teams, subcontractors, and client stakeholders.
Meetings and communication
  • Coordinate recurring project meetings, workshops, client reviews, and working sessions, including scheduling, agenda preparation, meeting materials, notes, decisions, and action-item tracking.
  • Produce concise and accurate meeting records that clearly identify assignments, responsible parties, required dates, decisions, and unresolved items.
  • Follow action items through closure rather than limiting support to meeting-note preparation and distribution.
  • Draft routine project correspondence, status updates, requests for information, and follow-up communications for project manager review.
  • Maintain professional and responsive communication with internal and external stakeholders.
Deliverables and document control
  • Coordinate the planning, preparation, internal review, quality review, client submission, comment resolution, and finalization of project deliverables.
  • Maintain deliverable registers and production schedules showing responsible contributors, planned review dates, submission dates, and current status.
  • Administer project documentation, including contracts, scopes of work, submittals, RFIs, change documentation, technical deliverables, correspondence, and approvals.
  • Maintain organized project files and repositories using established naming, version-control, access, retention, and audit requirements.
  • Verify that current and approved versions of project information are accessible to appropriate team members.
Project controls and reporting
  • Coordinate recurring project reporting cycles and collect inputs from project managers, schedulers, cost personnel, and technical leads.
  • Support the maintenance of dashboards, milestone reports, KPI reports, cost reports, schedule updates, risk registers, and change-management records.
  • Review project information for completeness, internal consistency, and data quality before reports are finalized.
  • Assist project teams with monitoring commitments, planned and actual milestones, budget information, forecast inputs, invoice status, and other assigned performance indicators.
  • Elevate discrepancies, missing inputs, overdue actions, and emerging concerns to the appropriate project manager or portfolio lead.
Commercial and administrative coordination
  • Support contract administration, purchase-order tracking, subcontractor documentation, invoice workflows, and procurement coordination.
  • Assist with collecting and validating timesheet, expense, vendor, invoice, and cost-reporting information.
  • Maintain records supporting scope changes, extra-work requests, authorization status, and commercial decisions.
  • Coordinate required onboarding and offboarding activities, including system access, project documentation, distribution lists, credentials, and required training.
Safety, quality, and compliance
  • Maintain records associated with project safety, quality, regulatory, contractual, and audit requirements.
  • Coordinate documentation requested for internal reviews, client reviews, quality audits, or compliance assessments.
  • Help ensure required project procedures, templates, review steps, and approval workflows are consistently followed.
  • Identify documentation, workflow, or compliance gaps and recommend practical corrective actions.
Team and process leadership
  • Develop and improve templates, trackers, checklists, procedures, and coordination workflows that can be consistently used across the portfolio.
  • Provide guidance to junior coordinators or administrative staff when assigned.
  • Anticipate coordination needs and independently resolve routine issues while appropriately escalating matters requiring project management, technical, contractual, or client decisions.
  • Exercise responsible and ethical decision-making regarding company funds, resources, information, and conduct, and comply with WSP policies and its Code of Conduct.
  • Perform additional responsibilities as required by business needs.
Who You Are
Required Qualifications
  • High school diploma or equivalent.
  • Minimum of seven years of relevant experience in project coordination, project administration, document control, project controls support, construction administration, or a comparable project-delivery role.
  • Demonstrated experience coordinating multiple concurrent projects or supporting several project managers and technical teams.
  • Ability to independently manage changing priorities, competing deadlines, and information from multiple contributors.
  • Working knowledge of the project lifecycle, including initiation, planning, design, execution, monitoring and control, and project closeout.
  • Experience maintaining action-item logs, deliverable registers, milestone trackers, project reports, and controlled project documentation.
  • Experience coordinating meetings and producing clear records of decisions, assignments, responsible parties, and due dates.
  • Strong follow-through, with the ability to monitor assignments through completion and appropriately elevate overdue or unresolved items.
  • Advanced proficiency with Microsoft 365 applications, particularly Excel, Word, PowerPoint, Outlook, Teams, and SharePoint.
  • Experience using project tracking, scheduling, document-management, or reporting platforms.
  • Ability to collect, reconcile, and quality-check information received from several project contributors.
  • Familiarity with project cost, schedule, risk, change, invoicing, procurement, or subcontractor coordination processes.
  • Strong written and verbal communication skills, including the ability to draft professional correspondence and concise project updates.
  • Ability to communicate professionally with project managers, technical personnel, corporate support groups, subcontractors, and client representatives.
  • Strong organizational skills and attention to detail, with a demonstrated commitment to information accuracy and document integrity.
  • Ability to handle commercially sensitive, client-sensitive, and confidential information appropriately.
  • Ability to recognize project coordination risks or process gaps and elevate them with sufficient context for management action.
  • Ability to work independently while remaining responsive to direction from multiple project managers and portfolio leadership.
  • Must be located in, or able to regularly report within, the Houston metropolitan area.
  • Ability to provide in-person project and client support in the Houston area based on meeting schedules and business needs.
  • Ability to meet attendance and scheduling commitments with dependability and consistency.

Preferred Qualifications
  • Associate’s or bachelor’s degree in business administration, construction management, engineering technology, project management, or a related field.
  • Experience supporting electric utility, transmission, substation, distribution, or other capital infrastructure projects.
  • Experience supporting a client portfolio or program consisting of multiple concurrent projects.
  • Familiarity with project controls concepts such as baseline schedules, milestones, cost forecasts, earned value indicators, change logs, risk registers, and KPI reporting.
  • Experience with SharePoint and one or more project delivery tools such as Primavera P6, Microsoft Project, Smartsheet, Power BI, Oracle, Deltek, Procore, or comparable platforms.
  • Familiarity with engineering and construction documentation, stage-gate delivery processes, and multidisciplinary design reviews.
  • Experience coordinating scopes of work, subconsultant records, purchase orders, invoice packages, change documentation, and client deliverables.
  • Familiarity with quality-control, records-management, audit, and regulatory documentation requirements.
  • Project coordination, document control, construction administration, or project management training or certification.
