This role is within the OneEO Client Desk 5, supporting the Department of Global Communications, Development Coordination Office, and Resident Coordinator System. The Senior Human Resources Assistant reports to the Team Lead.
Job purpose: The Senior Human Resources Assistant plays a crucial role in supporting the operational efficiency of the Department of Operational Support (DOS) and its client entities. This position is integral to the OneEO Client Desk 5, providing essential human resources services. The role contributes to the effective functioning of the Department of Global Communications, the Development Coordination Office, and the Resident Coordinator System by managing recruitment, placement, and administration of entitlements. By ensuring adherence to HR policies and procedures, the assistant facilitates smooth HR operations, supports client entities in their HR needs, and contributes to maintaining high standards of efficiency and compliance within the UN Secretariat.
Responsibilities: Key responsibilities include participating in the recruitment and selection process for secretarial and clerical positions, screening applications, preparing candidate profiles, and coordinating recruitment activities. The role involves advising managers and staff on HR policies and procedures, managing personnel actions related to appointments, entitlements, and separations, and serving as a primary contact for routine HR inquiries. Additionally, the position assists in processing classification requests, provides guidance on classification procedures, and supports the maintenance of HR guidance materials and knowledge resources. The Senior HR Assistant also monitors service requests, maintains accurate case information, conducts research on HR policies, supports audit activities, prepares reports and correspondence, and maintains HR files and databases. Training and supervision of junior staff may also be required.
Education: A high school diploma or its equivalent is required for this position.
Work experience: A minimum of seven years of progressively responsible experience in human resources, client services, or administration is required. Experience in providing guidance on HR rules, regulations, policies, and procedures is also essential. Desirable experience includes using ERP systems, conducting data analysis, preparing reports, and supporting recruitment processes in an international or multinational setting.
