Job summary

Hines in New York is seeking a Senior Facilities Manager to oversee facilities and financial management for a large leased real estate portfolio across the Americas. You will supervise outsourced services, manage ~30 annual budgets, and ensure timely reporting while coordinating engineering and lease activities.

The role requires strong leadership, communication, and analytics to optimize resources, reduce costs, and deliver excellent client service. Travel approximately monthly.

Qualifications

  • Bachelor’s degree in business administration, management, finance, information technology or related field.
  • Five or more years of experience in facilities management, client services or a related field.
  • Experience with distributed portfolios desired.
  • Proficient with information technology tools and platforms including Microsoft Office, especially Excel; and CMMS/work management applications.
  • Excellent communication, client service, and project management skills.
  • Analytical problem solver skilled in developing strategic process improvements to maximize resources, contain costs, optimize space, and enhance services.
  • Strong leader and team builder with excellent training, presentation and relationship-building skills.
  • Data collection and interpretation to identify trends and recommendations to improve client efficiency.
  • Maintain organization and time management skills.
  • Interact with employees, visitors, clients and business units with poise and diplomacy.
  • Understand key facilities management metrics and SLAs/KPIs.
  • Current driver’s license and ability to travel throughout the Americas (about 1 site visit per month).
  • Detects emergency alarms and remains calm in emergencies.
  • Excellent attendance and punctuality.
  • Operate standard office equipment.

Responsibilities

As a Senior Facilities Manager with Hines, you will be responsible for oversight and overall facilities and financial management support for a large leased real estate portfolio of regional offices throughout the Americas. Responsibilities include, but are not limited to:

  • Manages facilities services through outsourced vendors and lease administration.

  • Ensures outstanding levels of service to the client and prompt issue resolution.

  • Develops and maintains approximately thirty annual budgets and monthly financial variance reporting.

  • Manage contract requirements, including meeting or exceeding Key Performance Indicators

  • Manages performance of vendors ensuring services are delivered in accordance with the contract and to agreed standards and tracking to completion.

  • Completes reporting and ensures it is accurate and timely.

  • Coordinates engineering services as needed with the Hines Engineering team.

  • Manages lease administration issues and creates and/or revises lease abstracts.

  • Coordinates and resolves landlord, and project management construction issues.

Qualifications

Minimum Requirements include:

  • Bachelor’s degree in business administration, management, finance, information technology or related field from an accredited institution.
  • Five or more years of experience in facilities management, client services or a related field.
  • Experience with distributed portfolios desired.
  • Highly proficient with a range of information technology tools and platforms including Microsoft Office, especially Excel; and CMMS/work management applications
  • Excellent communication, client service, and project management skills
  • Analytical problem solver skilled in developing strategic process improvements to maximize resources, contain costs, optimize space, and enhance services.
  • Strong leader and team builder with excellent training, presentation and relationship building skills.
  • Manager skilled in collection and interpretation of data, recognizing trends and formulating recommendations that strive to improve efficiently of the client’s business model.
  • Maintain organization and time management skills.
  • Interacts with employees, visitors, client and business unit employees with pose and diplomacy.
  • Possess a strong understanding of key facilities management industry related metrics and the inter-relationship with client Service Level Agreements and Key Performance Indicators.
  • Current driver’s license and ability to travel throughout the Americas as required (estimated one site visit per month)
  • Detects emergency alarms, auditory and/or visual and maintains calm demeanor in emergency situations.
  • Meets highest attendance and punctuality requirements.
  • Operates personal computer, fax telephones and other office equipment.
  • Walks up and down stairs for inspections and emergency procedure or implantation.
  • Compensation: $174,600 - $218,100 + Bonus
