Job summary

Caris Life Sciences is seeking a Senior Facilities Coordinator to ensure efficient, compliant operation of facility services across the organization. You will oversee maintenance scheduling, budgeting, vendor performance, and service-level agreements to deliver high-quality support for a safe and well-functioning work environment.

The role emphasizes proactive planning, data-driven prioritization, and collaboration with procurement, facilities, and external partners.

Qualifications

  • High School diploma or GED.
  • 7+ years of experience as a maintenance planner/scheduler in industrial maintenance, manufacturing/distribution, or related field.
  • Subject matter expert (SME) knowledge of CMMS.
  • 7+ years implementing service agreements, requisition creation and management, and procurement and financial tasks.
  • Proficiency in planning, scheduling, budgeting, risk management, and resource allocation.
  • Excellent organizational skills and ability to build collaborative relationships with internal customers and external vendors.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Responsibilities

  • Coordinate, schedule, and monitor soft services including janitorial, landscaping, pest control, food services, and other support functions to ensure consistent regulated compliance with service-level agreements (SLAs), organizational standards, and operational requirements.
  • Serve as the facilities scheduler and planner by developing, maintaining, and optimizing preventive and corrective maintenance schedules for facilities and equipment, ensuring timely execution while minimizing operational disruptions.
  • Assist in the development, tracking, and management of facilities budgets by monitoring expenditures, approving completed services in Oracle, and implementing effective cost-control measures to support financial objectives.
  • Oversee vendor and contractor performance to ensure adherence to quality standards, safety protocols, and applicable regulatory and compliance requirements.
  • Establish, review, enforce, and continuously improve SLAs for all outsourced services, ensuring performance benchmarks, response times, and service delivery expectations are consistently met.
  • Monitor and manage work order progress by tracking maintenance activities from initiation through completion, ensuring accurate documentation, efficient execution, and timely resolution of delays or issues.
  • Maintain comprehensive and up-to-date maintenance records, including work orders, equipment histories, and parts usage, to support audits, reporting, and long-term asset planning.
  • Manage contracts and vendor engagements by obtaining competitive quotes, negotiating service-level agreements, and securing favorable terms.
  • Coordinate closely with onsite procurement and facilities management teams to ensure contract compliance, proper execution, and timely renewals.

Position Summary

The Sr. Facilities Coordinator plays a critical role in ensuring the efficient, reliable, and compliant operation of both hard and soft facility services across the organization. This position is responsible for overseeing facility and equipment maintenance while also managing essential soft services such as janitorial, landscaping, security, and other support functions to maintain a safe, clean, and well-functioning environment. In addition to service oversight, the Sr. Facilities Coordinator serves as a central scheduler and planner, responsible for developing, coordinating, and maintaining detailed maintenance and service schedules. This includes planning preventive and corrective maintenance activities, aligning vendor availability with operational needs, and minimizing disruptions to daily operations. Through proactive scheduling and resource planning, the role ensures timely service delivery, optimized workforce utilization, and effective prioritization of tasks. The Sr. Facilities Coordinator also manages service-level agreements, budgets, and vendor performance to ensure cost-effective, high-quality service delivery. By creating structured work plans, tracking performance metrics, and continuously evaluating vendor relationships, the role balances operational requirements with financial objectives. Through streamlined workflows, data-driven planning, and effective coordination, the Sr. Facilities Coordinator supports operational excellence and delivers a consistently positive experience for all stakeholders.

Required Qualifications

  • Candidates should possess excellent organizational skills, building collaborative relationships with internal customers and external vendors.
  • Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook, and general working knowledge of Internet for business use.
Preferred Qualifications
  • Bachelor of Science (B.S.) Degree in Operations Management and or a Business discipline.
  • Six Sigma Green belt or higher 10+ years experience as a maintenance planner and vendor management
Physical Demands

Must possess ability to sit, stand, and/or work at a computer for long periods of time. May have exposure to blood-borne pathogens, extreme temperatures, high noise levels, fumes and bio-hazardous material/chemical including formalin in the lab environment. Must possess ability to perform repetitive motion. Ability to lift up to 30 pounds.

Other

This position requires periodic travel and some evenings, weekends and/or holidays. Job may require after-hours response to emergency issues. Periodically scheduled on-call may require after-hours response for technical emergencies not explicitly related to assigned job responsibilities. At times may be required to work weekends/holidays.
