About this role:

As Senior Executive Assistant to the President, you will be a trusted partner to the President while also providing executive-level support to the Chief of Staff/Vice President of Operations. This role sits at the intersection of leadership, communication, and university operations, helping ensure priorities move forward and the Office of the President operates with efficiency, discretion, and professionalism.

You’ll manage much more than a calendar. From preparing executive communications and coordinating leadership meetings to supporting institutional events and special initiatives, you’ll have visibility across the University and regular interaction with senior leaders, faculty, staff, students, and external partners.

Your Contribution Will Likely Include
  • Serve as a trusted administrative partner to the President and Chief of Staff/Vice President of Operations, managing calendars, correspondence, documents, follow-up, and competing priorities.
  • Coordinate complex executive schedules and meetings, including in-person, hybrid, and virtual logistics, agendas, briefing materials, minutes, and action items.
  • Prepare high-level drafts of reports and communications on behalf of the President, conducting research and synthesizing information as needed.
  • Coordinate executive travel, including airfare, lodging, itineraries, and related logistics.
  • Serve as a key point of contact for the Office of the President, creating a welcoming and professional experience for faculty, staff, students, visitors, and external stakeholders.
  • Handle sensitive and confidential information with discretion while exercising independent judgment about priorities and issues requiring escalation.
  • Facilitate communication between the Office of the President, Vice Presidents, and other senior leaders.
  • Support executive leadership committees, cross-divisional projects, and special initiatives, helping track progress and identify potential barriers or resource needs.
  • Coordinate institutional events involving the President, including logistics, RSVPs, materials, setup, and communication with internal and external partners.
  • Maintain executive tracking systems, mailing lists, contract databases, and relevant University Leadership content on PNWU’s website and internal platforms.
  • Identify opportunities to improve the efficiency and effectiveness of Office of the President operations.
  • Help oversee the day-to-day coordination of the President’s suite, including front office reception, supplies, and related operational needs.
Experience You Will Bring
  • Bachelor’s degree and at least five years of administrative support experience, preferably within an academic or executive office environment; or an equivalent combination of education and experience that demonstrates the ability to successfully perform the role.
  • Experience managing complex calendars and coordinating executive-level meetings.
  • Strong organizational, communication, and time-management skills with the ability to navigate multiple priorities in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality, exercise sound judgment, and operate professionally in a highly visible setting.
  • Exceptional interpersonal and customer service skills when working with a wide range of internal and external stakeholders.
  • Polished written and verbal communication skills with strong attention to detail.
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint, along with comfort using scheduling and file-management systems.
  • Experience working in higher education, healthcare, or another mission-driven organization.
  • A commitment to professionalism, accuracy, collaboration, and discretion.
  • A master’s degree in business administration, management, higher education administration, or a related field is preferred, as is experience supporting multiple executives in a complex organization and familiarity with shared governance and senior leadership environments.

The annual salary range for this position is $77,200-$123,500. PNWU anticipates hiring within the second and third quartiles of the range, $88,800-$111,950, with the final salary determined based on experience, qualifications, and demonstrated proficiency.

Second Quartile | $88,800-$100,400:

Generally reflects candidates with approximately 3–5 years of relevant or equivalent experience at this level who are developing to proficient across the position’s core responsibilities, consistently meet expectations, and have established credibility with colleagues and partners.

Third Quartile | $100,400-$111,950:

Generally reflects candidates with approximately 5–10 years of relevant or equivalent experience at this level who are fully proficient across the position’s responsibilities, demonstrate consistently strong performance, and serve as a trusted resource within their area of expertise.

Benefits include:
  • Medical, dental, and vision coverage, including PPO and HSA medical plan options for eligible employees and dependents.
  • A 403(b) retirement plan, with PNWU intending to provide a 100% employer match on employee contributions up to 5% of compensation, plus the potential for an additional annual discretionary employer contribution.
  • Approximately 160 hours of vacation annually for full-time, non-faculty employees, plus eight hours of sick leave per month.
  • 11 paid holidays plus a winter break between Christmas and New Year's.
  • Employer-paid life insurance and long-term disability coverage for eligible employees.
  • Tuition reimbursement for eligible employees pursuing bachelor's, master's, or doctoral degrees after one year of employment, as well as departmental professional development and travel funds.
