Job summary

PsiQuantum is seeking an exceptional Executive Assistant to partner with a C-level executive in a fast-moving, high-growth startup. You will manage calendars, travel, and day-to-day logistics, coordinating with the Board, investors, and leadership to keep the organization moving forward.

This role requires 5+ years supporting C-level executives in tech startups, high professionalism, and discretion, with strong proficiency in Microsoft Office, Slack, and Zoom.

Qualifications

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • 5+ years supporting C-level executives in a high-growth technology startup or similar fast-paced environment.
  • Experience managing highly complex calendars with minimal direction.
  • Proven ability to operate with professionalism, discretion, and sound judgment.
  • Experience coordinating travel, meetings, and events in a dynamic environment.

Responsibilities

  • Provide administrative support to a C-level executive in a fast-paced, high-growth startup environment.
  • Proactively identify the executive's needs and take action to solve problems before they arise.
  • Manage daily executive hospitality and logistics, including meal coordination, transportation arrangements, and other day-to-day support to ensure seamless operations and schedule efficiency.
  • Manage complex and ever-changing calendars, including scheduling internal and external meetings across multiple time zones.
  • Coordinate domestic and international travel arrangements, itineraries, expense reporting, and logistics.
  • Serve as a trusted liaison between the executive, leadership team, board members, investors, employees, and external partners.
  • Prioritize and manage incoming communications, ensuring timely follow-up and appropriate escalation when needed.
  • Serve as a liaison for Board of Directors; schedule board and committee meetings, manage communications, and ensure timely distribution of materials; coordinate communications with the BOD members' offices.
  • Support leadership offsites, investor meetings, and company events as needed.
  • Track action items, follow-ups, and key deliverables to help drive accountability and execution.
  • Maintain strict confidentiality and discretion while handling sensitive business and personnel information.
  • Assist with special projects, operational initiatives, and strategic priorities as assigned.
  • Partner closely with the Chief of Staff, Executive Leadership Team, and other Executive Assistants to ensure seamless coordination and support.
  • Collaborate with the administrative team and help establish and improve administrative processes, systems, and efficiencies as the company scales.
  • Serve as a leader and mentor for other administrative support professionals to elevate performance and collaboration.
  • Provide support whenever and wherever needed, including after-hours support and flexibility based on business needs and executive travel schedules.

PsiQuantum’s mission is to build the first useful quantum computers—machines capable of delivering the breakthroughs the field has long promised. Since our founding in 2016, our singular focus has been to build and deploy million-qubit, fault-tolerant quantum systems. Quantum computers harness the laws of quantum mechanics to solve problems that even the most advanced supercomputers or AI systems will never reach. Their impact will span energy, pharmaceuticals, finance, agriculture, transportation, materials, and other foundational industries. Our architecture and approach is based on silicon photonics. By leveraging the advanced semiconductor manufacturing industry—including partners like GlobalFoundries—we use the same high-volume processes that already produce billions of chips for telecom and consumer electronics. Photonics offers natural advantages for scale: photons don’t feel heat, are immune to electromagnetic interference, and integrate with existing cryogenic cooling and standard fiber-optic infrastructure. Job Summary:

We are looking for an exceptional Executive Assistant to partner with a C-level executive in a fast-moving, high-growth startup environment. This is a high-impact role for someone who thrives on momentum, embraces change, and takes ownership of whatever is needed to keep an executive—and the broader organization—moving forward. You’ll be a trusted partner who anticipates needs, solves problems before they surface, and brings structure and clarity to an environment where priorities can shift quickly. From managing a complex and fluid calendar, travel, and day-to-day executive logistics to coordinating with the Board of Directors, investors, leadership team, and external partners, you’ll play a critical role in helping the executive stay focused on the company’s most important priorities. This role goes well beyond traditional administrative support. You’ll be expected to think ahead, connect the dots, exercise strong judgment, and jump in wherever needed—whether that means driving follow-ups, supporting an investor meeting or leadership offsite, improving an internal process, or tackling an unexpected challenge with little direction. You’ll work closely with the Chief of Staff, Executive Leadership Team, and administrative team to create leverage, improve how we operate, and build scalable ways of working as the company grows.

Experience / Qualifications:

  • 5+ years of experience supporting C-level executives, preferably within a high-growth technology startup or similarly fast-paced environment.
  • Strong preference for previous experience supporting a C-level.
  • Experience managing highly complex calendars and executive priorities with minimal direction.
  • Proven ability to operate with professionalism, discretion, and sound judgment.
  • Experience collaborating seamlessly with senior executives, board members, investors, and external stakeholders.
  • Experience managing multiple priorities while maintaining exceptional attention to detail.
  • Strong proficiency with Microsoft Office, Slack, Zoom, and modern productivity tools.
  • Experience coordinating travel, meetings, and events in a dynamic environment.
  • Ability to thrive in ambiguity and adapt quickly to changing priorities.

Base pay is one part of the total compensation package. Full-time roles are eligible for equity and benefits. Our compensation ranges reflect the cost of labor across multiple U.S. geographic markets, and we pay based on defined geographic zones. This position may be filled within one of the following U.S. geographic zones, each with its own salary range. Actual compensation may vary outside of these ranges and is dependent on various factors including, but not limited to, a candidate’s qualifications, relevant education and training, competencies, experience, geographic location, business needs, and internal equity.   • Zone 1 - Bay Area and NYC

  • Zone 1 $140,300 - $164,900 USD
  • Zone 2 $126,300 - $148,400 USD
  • Zone 3 $112,300 - $131,900 USD
