Senior Executive Assistant

We’re looking for an exceptionally organized, proactive, and strategic Senior Executive Assistant to serve as a key administrative partner to our Chief Technology Officer (CTO) and supporting Vice Presidents (VPs) within the Technology organization. In this high-impact role, you will serve as the primary operational hub, working closely with cross-functional leadership, key internal stakeholders, and external partners across multiple engineering and technology disciplines.

As a senior professional, you excel in high-complexity environments, managing competing priorities for multiple senior leaders. You anticipate needs before they arise, navigate rapid organizational shifts with composure, and maintain absolute discretion. You will optimize executive calendars, streamline operations, and drive culture through seamless event planning and administrative excellence.

What You Will Do:
  • Strategic Calendar & Schedule Optimization: Proactively manage complex, high-volume calendars for the CTO and Technology VPs across multiple time zones. Forecast long-range strategic priorities, exercise sound judgment to resolve scheduling conflicts, and partner seamlessly with the broader Executive Assistant team to maintain operational flow.
  • Travel & Expense Management: Coordinate end-to-end domestic and international travel logistics for the CTO and VPs, including complex itineraries, transport, and lodging. Timely preparation and processing of expense reports, invoice tracking, and budget reconciliation in compliance with company policy.
  • Executive Partnership & Prioritization: Act as a critical operational partner—triaging urgent requests, tracking action items across leadership lines, and ensuring leaders are thoroughly prepared for key meetings with background materials, agendas, and briefings.
  • Large-Scale Event & Offsite Coordination: Lead end-to-end planning and logistics for technology town halls, Annual Product & Technology Conference for 700+ attendees, VP leadership offsites, departmental workshops, and team-building events. Manage vendor negotiations, venue bookings, catering, AV setups, and attendee travel arrangements.
  • Departmental Operations & Special Projects: Assist with processing POs, invoices, and managing vendor/contract documentation for the broader Technology org. Lead or support cross-departmental administrative projects and ad-hoc initiatives as requested.
  • EA Team Collaboration & Coverage: Serve as a collaborative peer within the administrative team, providing cross-coverage for other C-suite and VP EAs during absences and contributing to administrative best practices across the company.
Who You Are:
  • Experience & Leveling: 6+ years of executive administrative support experience supporting C-level executives and VPs, preferably within a tech, SaaS, or high-growth matrixed organization. Associate's degree required; Bachelor's degree preferred (or equivalent practical experience).
  • Multi-Leader Priority Management: Proven capability operating at a senior individual contributor level (High Complexity), with demonstrated skill in balancing work streams and context-switching effectively across multiple senior executives.
  • Technical Proficiency: Advanced expertise in Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word). Strong aptitude to quickly master digital productivity, collaboration, and travel/expense management tools (e.g., Concur, Slack, Jira/Confluence, Zoom).
  • Communication & Influence: Impeccable verbal and written communication skills with the poise and professionalism to interface seamlessly with executive leadership, engineering teams, and external partners.
  • Uncompromising Discretion: Absolute integrity and judgment when handling highly sensitive, proprietary, and confidential company, product, and personnel information.
  • Execution & Drive: High initiative, sound judgment, and a self-motivated approach to driving tasks to completion independently in a fast-paced environment.
  • Adaptability & Customer Service Mindset: Calm under pressure with a flexible, solution-oriented approach dedicated to enhancing the overall efficiency and effectiveness of the Technology organization.
