Senior Executive Assistant, Board Liaison

The Senior Executive Assistant, Board Liaison serves as a trusted strategic partner to their assigned executives, with a specialized focus on supporting the Board of Directors. What You’ll Do:
  • Coordinates board meeting scheduling, agenda preparation, and advance distribution of materials in compliance with applicable bylaws and governance requirements.
  • Assists with scheduling and logistics for ad hoc committee meetings and other Board and executive office needs, including investor relations activities such as earnings calls and conferences, working alongside the Investor Relations team.
  • Processes board member expense reports in a timely and accurate manner, partnering with Accounts Payable on reconciliation and approvals.
  • Supports expense reporting for assigned executives, as needed.
  • Maintains strict confidentiality and discretion in all board-related matters and communications.
  • Manages highly complex calendars across multiple time zones and lines of business.
  • Gatekeeps access to executive time and office with professionalism and discretion.
  • Partners with assigned executives to anticipate needs, set priorities, and handle sensitive matters with independent judgment, so executives stay prepared, informed, and focused on what matters most.
  • Coordinates agendas for leadership team meetings and follows up on action items and scheduling needs, attending and taking notes as appropriate.
  • Prepares executive-level materials and briefings and assists executives with drafting and editing communications, as needed.
  • Researches, prioritizes, and follows up on incoming issues, including confidential matters.
  • Determines the right response, referral, or course of action.
  • Plans and coordinates internal and external meetings and events, including team offsites, working with Facilities, IT, and Finance on space, technical needs, vendors, catering, and budgets.
  • Maintains organized filing systems for executive and board records, documents, and email.
  • Manages corporate records, board documents, and the company data room, retrieving and distributing information, as needed.
  • Assists board members and assigned executives with travel arrangements, including flights, hotels, ground transportation, lodging, meal coordination, and detailed agendas, as needed.
  • For Austin-based team members, supports the coworking space with light office duties, such as mail handling and badges, and related ad hoc needs.

  • Exceptional organizational and time‑management skills, with meticulous attention to detail and accuracy in everything produced for executives and the Board, across multiple complex priorities.
  • Sound independent judgment and proven discretion with highly confidential and sensitive information.
  • Expert written and verbal communication skills, with the executive presence to engage confidently with executives, external partners, and senior stakeholders.
  • Strong interpersonal skills and the ability to build trust and credibility at every level of the organization.
  • Proactive problem‑solving, decision‑making, and follow‑through without needing reminders or close direction.
