Job summary

Greenleaf Hospitality Group in Kalamazoo seeks an experienced Events Planner to partner with clients from sale handoff through planning, execution, billing and post-event follow-up.

You will orchestrate weddings, conferences, trade shows and other gatherings at Kalamazoo Event Center, guiding budgets, timelines, vendor coordination and on-site supervision to deliver exceptional experiences while supporting financial goals.

Qualifications

• 3+ years of experience in event planning or related field.
• Ability to independently manage client relationships and detailed event logistics from planning through execution.
• Experience planning a variety of events (meetings, conferences, weddings, exhibitions).
• Strong client relationship skills with ability to guide objectives and build long-term relationships.

Responsibilities

• Serve as the client’s primary planning partner after the contracted sales handoff.
• Lead pre-planning meetings to understand vision and needs with expert recommendations on layouts, timelines, F&B, AV, décor, and vendor needs.
• Develop detailed Banquet Event Orders, diagrams, timelines, and supporting docs communicating requirements.
• Lead recurring event meetings; collaborate with Banquets, Culinary, Event Technology, Facilities, Security, Parking, Finance, Sales, and other partners.
• Coordinate use of event space in accordance with venue and client requirements.
• Recommend enhancements that add value while supporting revenue and service objectives.
• Support billing processes and ensure timely final charges per contracted terms.
• Act as on-site lead during events; manage changes and ensure guest satisfaction.
