Job summary

The Florida Department of Health in St. Johns County (FDOH-SJC) is seeking an Operations & Management Consultant II – SES to support the Health Business Office.

The role works in the clinical services area and contributes to scheduling, registration, billing, and records processes. You will handle client registration, financial eligibility, billing, medical records, and ensure data privacy while collaborating with medical staff.

Qualifications

  • Schedule follow-up appointments as directed by medical staff.

This position is under the direction of the Operations & Management Consultant II – SES (Health Business Office Supervisor), works in the clinical services area and is part of the Health Business Office that provides support for clinical services.

Scheduling, Registration, Check-In, Reception and Collection of Services
  • Register, verify and update client demographic and insurance information in Health Management System (HMS).
  • Performs client registration accurately and positively with client.
  • Initiates records for new patients per established guidelines and procedures.
  • Conducts financial eligibility interview to determine client payer source or sliding fee scale category.
  • Bills services to clients, Medicaid or third-party insurance in the appropriate system.
  • Processes end of the day credit card reports per established procedures, returns cash drawer with receipts and reports to fiscal office.
  • Schedules follow-up appointments as indicated by medical staff.
  • Serves as receptionist for incoming and outgoing calls for information, referral, appointments and/or re-routing.
  • Serves as check-in receptionist for clients, information, appointments, and referrals.
  • Serves as receptionist for confirmation of upcoming appointments.
  • Completes prior authorization process as necessary.
Billing and Insurance
  • Assists with billing of individuals and insurance companies for services performed.
  • Handles collection of fees, copayments, deductibles and outstanding balances from clients according to established policy and procedures.
  • Account for and documents fees collected according to established policy.
Medical Records
  • Processes incoming and outgoing faxes per established procedures
  • Ensures all necessary documents are scanned and correctly attached in the electronic health record for incoming and outgoing faxes and all clinical documents

Ensures the integrity/confidentiality of all data sets in the program; complies with the information security protocols and procedures (DOHP 50-10); security and privacy of client information is maintained; disclosure of confidential information is released only after proper authorization has been obtained; and information that is exempt from public record disclosure is maintained in a confidential manner.

Assists clients with the application and submission process for the Presumptive Eligibility for Pregnant Women (PEPW) program.

Performs other duties as required.

Qualifications

Other job-related requirements for this position: Must be physically able to lift up to 20 lbs., bending, stooping or squatting. Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
