Must be self-directed with a high level of accountability and minimal supervision. Functions as a resource for employees and clients. We are seeking an extremely reliable, independent, and resilient individual to manage daily office operations and serve as the primary point of contact for our residents. In this role, you will independently run the office, performing critical clerical duties for multiple departments while managing resident relations. Because other staff members are frequently out of the office, you must be comfortable handling resident inquiries and resolving conflicts entirely on your own. The ideal candidate possesses strong computer skills, exceptional emotional intelligence, and the ability to remain calm and professional when handling difficult or temperamental situations.
Resident Relations & Conflict Resolution: Serve as the sole, front-line contact for residents; independently de-escalate conflicts and professionally manage interactions with temperamental or frustrated individuals.
Operations & Maintenance Coordination: Act as the primary liaison between residents and maintenance staff; receive, log, and manage facility work orders from start to finish.
Independent Office Management: Maintain total oversight of the office environment during high-traffic periods where other staff members are coming and going.
Administrative Support: Perform accurate data entry, manage departmental ordering, handle incoming phone services, and provide project support to multiple leaders.
Onboarding & Training: Conduct orientation and provide initial training for new staff members.
Confidentiality: Respect and maintain strict confidentiality regarding all verbal and written communications.
Schedule: Must be strictly available to work Monday through Friday, 8:30 AM – 5:00 PM. Punctuality and dependable attendance are non-negotiable.
Conflict Management: Proven ability to handle stressful interpersonal situations, diffuse anger, and maintain a professional demeanor without immediate supervisor backup.
Autonomy: Comfort working independently and making decisions without direct supervision throughout the day.
Technical Skills: Strong proficiency with computers, data entry, and office software.
Communication: Exceptional verbal and written communication skills.
As the operational anchor of our office, this role requires a consistent, full-time physical presence. While other team members have field-based roles or schedule flexibility that keeps them out of the office, this position provides the steady, reliable foundation required to keep daily operations and resident services running smoothly.
