In addition to owning billing and collection results, this role serves as a subject matter expert for the accounts receivable function by reviewing the work of Accounts Receivable Clerks, resolving escalated billing and payment issues, and supporting month-end close. Duties & Responsibilities

  • Prepare and review customer billings on a mid-month and monthly billing cycle for an assigned portfolio of complex projects, coordinating activities with project managers and internal departments to ensure accurate and timely invoice generation.
  • Prepare Time & Material and Fixed Price project billings, including progress billings and retainage, by reviewing contract terms, billing requirements, and supporting documentation each billing cycle.
  • Review invoices and supporting documentation prepared by Accounts Receivable Clerks prior to release; provide feedback and corrective guidance to improve accuracy.
  • Train, mentor, and provide day-to-day guidance to Accounts Receivable Clerks; assist with workload prioritization during peak billing and month-end close periods.
  • Generate and distribute invoices in a timely manner; confirm receipt and acceptance, whether invoices are mailed or submitted through a customer-approved system, and resolve rejected or returned invoices.
  • Manage collection of past-due accounts by analyzing aging, developing follow-up strategies, and escalating to project managers and the Assistant Controller as appropriate.
  • Serve as the point of contact for escalated billing disputes, short pays, and deductions; research, document, and drive issues to resolution with project managers and customers.
  • Prepare and distribute accounts receivable aging and collections reports to project managers and accounting management, and highlight trends, risks, and past-due balances requiring attention.
  • Apply cash receipts accurately to the appropriate customer accounts; review cash application performed by others and research and clear unapplied or misapplied payments.
  • Perform and review account reconciliations, including accounts receivable subledger to general ledger; prepare supporting schedules and take a lead role in month-end close activities.
  • Perform and review order entry and change order functions within the accounting system, including entry of job budgets.
  • Tie out intra-company invoices with Accounts Payable, resolve discrepancies, and generate offsetting invoices for processing within the accounting system.
  • Perform or review Accounts Payable vendor master file setups and ACH callbacks to verify vendor banking information in accordance with internal controls.
  • Maintain a secured database of customer portal login credentials for billing system access and ensure access is current and appropriately restricted.
  • Serve as a resource to other divisions or companies on billing application questions and process guidance; support the data entry review process performed by other divisions and companies.
  • Maintain accurate billing documentation and supporting records suitable for audit review, and assist with internal and external audit requests.
  • Identify, recommend, and help implement improvements to billing, collection, and cash application processes; document procedures and best practices.
  • Perform special projects and complete other duties as assigned or requested.
How You Will Make an Impact
