Position Details
  • Position: Senior Accounting Coordinator
  • Reports to: CFO
  • Evaluated: Annually
  • Employment Type: Full-Time
Position Purpose

The Senior Accounting Coordinator supports the financial operations of the organization through responsibilities such as reconciliations, financial research, audit support, accounts payable, and system process improvements. This role ensures accuracy and integrity across financial systems and revenue streams and collaborates with departments like Admissions, Development, Camp Programs, and Facilities.

Responsibilities
  1. Accounts Receivable and Daily Transactions: Manage invoicing, payments, collections, reconcile accounts, and communicate with families regarding account status and billing inquiries. Handle prorated tuition calculations and oversee revenues using platforms like NelNet FACTS, PayPal, CampBrain, LightSpeed, ClassWallet, QuickBooks, among others. Initiate collection actions on delinquent accounts and analyze aging reports for write-offs.
  2. Funds, Journal Entries, and Reconciliations: Record releases from restrictions, monitor grant and donation spending, prepare journal entries, perform reconciliations, and maintain depreciation schedules and fixed asset reconciliations.
  3. Cross-Department Collaboration: Participate in meetings with Admissions and Development to support revenue forecasting and tracking of donations.
  4. Purchasing and Sales Tax Compliance: Process vendor orders, monitor purchases for budget compliance, and calculate/remit Texas sales tax.
  5. Financial Aid Support: Assist with applications, review documentation, and coordinate with teams for financial aid determinations.
  6. Audit Support: Provide documentation, participate in auditor calls, and deliver materials timely.
  7. Accounts Payable and Daily Transactions: Serve as backup for invoice processing, ACH/check runs, and vendor communication. Assist with payroll and benefits reconciliations.
  8. Special Projects: Support projects like contract tracking, donor management, and process improvements. Investigate discrepancies and collaborate to resolve issues.
Essential Functions
  • Manage accounts receivable, reconcile accounts, and support monthly close processes.
  • Maintain compliance with GAAP and FASB standards, especially ASC 958.
  • Support revenue forecasting, financial aid, and process improvements.
  • Assist with purchasing, sales tax, and audit documentation.
Professional Requirements
  • Strong knowledge of GAAP and FASB standards for nonprofits, including ASC 958.
  • Proficiency in QuickBooks Desktop, Microsoft Office, and Nelnet FACTS.
  • Advanced Excel skills.
  • Ability to prioritize and meet deadlines with strong problem-solving and discretion.
  • Excellent interpersonal skills and a collaborative mindset.
  • Commitment to Waldorf education's mission and values.
