Senior Accounting Assistant

Clerk of Superior Court

FLSA: Non-Exempt

Minimum Pay: $18.85 per hour

JOB SUMMARY

This position provides support for the office’s financial functions, including the management of jury selection.

MAJOR DUTIES
  • Performs a variety of cash management functions; reconciles daily deposits; monitors petty cash for each division; reconciles daily ACH report to receipts and bank deposits.
  • Coordinates the processing of child support payments; sets up new cases and receipts daily payments; processes checks to custodial parents; reconciles daily deposits.
  • Orders all office supplies; codes invoices and submits to accounts payable staff of payment.
  • Records employee time and submits biweekly timesheets.
  • Reconciles bank statements for multiple bank accounts.
  • Reconciles monthly budget reports to all invoices submitted for payment.
  • Reconciles monthly reports for all accounts; verifies receipts of deposits and processes payments to appropriate government agencies and other payees.
  • Performs jury management duties to include selecting trial and grand jurors, printing and mailing jury summons, approving juror excuses and/or deferrals, and disbursing compensation to juror and bailiffs.
  • Assists with financial audits.
  • Assists the Clerk in the development of the annual budget.
  • Issues Notary Certificates.
  • Responds to front desk requests related to assigned responsibilities.

SUPERVISORY CONTROLS

The Clerk of Superior Court assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include GAAP, GASB guidelines, and county and court policies and procedures. These guidelines require judgment, selection, and interpretation in application.

COMPLEXITY/SCOPE OF WORK
  • The work consists of financial accounting duties. The variety of funds to be accounted for and disbursed contributes to the complexity of the position.
  • The purpose of this position is to manage the financial functions of the Superior Court Clerk’s Office. Successful performance ensures the proper accounting for and disbursal of funds.

  • Contacts are typically with co-workers, other county employees, custodial and non-custodial parents, jurors, bailiffs, bondsmen, and members of the general public.
  • Contacts are typically to exchange information, resolve problems, motivate persons, justify matters, and provide services.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.

MINIMUM QUALIFICATIONS
  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
