Job Description for Medical Secretary/Administrative Support at UMass Memorial Health

Exemption Status: Non-Exempt

Schedule Details: Monday through Friday

Scheduled Hours: 8:30 AM - 5:00 PM

Shift: Day Shift, 8 Hours (United States of America)

Hours: 40

Cost Center: 34000 - 2910 Southbridge Cardiology

Position Overview

Performs secretarial and administrative support services for assigned physicians, faculty, or medical service line chiefs. The role requires thorough knowledge of medical office procedures and UMMHC administrative practices. Duties involve interfacing with faculty, medical staff, patients, and various administrative personnel, requiring tact and diplomacy. May coordinate medical office activities and staff.

Sign-on Bonus: $3,000

Preferred Experience: Cardiology experience is preferred.

Major Responsibilities
  1. Coordinate medical office activities and staff, including training, scheduling, suggesting process improvements, and monitoring performance.
  2. Transcribe medical reports from physicians' dictation, produce correspondence, reports, memos, and proofread/edit manuscripts, grant applications, and academic papers.
  3. Attend meetings as recording secretary, distribute agendas and minutes.
  4. Serve as coordinator for residency, fellowship, clerkship, or graduate/undergraduate education programs.
  5. Compose or select standard response letters for routine inquiries and procedures.
Position Qualifications

License/Certification/Education:

  • High School diploma.
  • 6-12 months of specialized medical secretarial or medical office training.

Experience/Skills:

  • 2-3 years of medical secretarial or administrative support experience.

Proficiency in software such as Word, Excel, PowerPoint, databases, Medi-Tech, IDX, Lynx, etc. is required. Equivalent education and experience may be considered if certification or licensure is not required.
